Responsibilities

  • Calendar management/scheduling of internal conference rooms, teams, external clients; coordinate meetings via on-site, video conferencing administrative duties
  • Create or edit documents using Microsoft Office applications
  • Printing, folding and mailing sizable projects
  • File, photocopy, type, sort mail and mail documents with precision and efficiency
  • Aid with incoming/outgoing mail, shipping, and package distribution within a secure, regulated environment
  • Provide logistic support for meetings/event (e.g. lunch ordering, stocking mini fridges, setting up drink stations, or setting up videoconferencing room features, etc.) as requested
  • Organize special projects, travel arrangements and process related expense reporting
  • Aid with internal site-specific employee events, including site selection, event coordination, and communications to onsite employees
  • Enter statements of work, purchase orders, accounts payable submissions/research and credit card payments/reconciliation with departmental needs
  • Professionally handle highly confidential material and information
  • Escalate concerns as needed to ensure timely response
  • Consistently display energy, enthusiasm, optimism, and positive attitude in support of a mission-driven operations and service organization
  • Deliver support consistent with the AssetMark Values and Culture delivered in a way that furthers the success and engagement of our teams and associates
  • Serve as back up for Manager, Administrative Support
  • Serve as back up for the front-desk reception as needed (may require Monday and Friday coverage)
  • Other duties as assigned
  • Qualifications

    • 2-5 years working as an administrative assistant
    • Demonstrate expertise in Microsoft Office to include Outlook (advanced skill required), PowerPoint, MS Word, Excel
    • Ability to work independently with minimal direction and accept ownership of tasks
    • Effectively manage multiple competing priorities and perform all other duties as assigned by manager
    • Demonstrate extreme accuracy and attention to detail
    • Maintain, at all times, the highest level of confidentiality
    • Deal with people and situations diplomatically and professionally
    • Communicate clearly and effectively both orally and written combined with the ability to work effectively in a team environment
    • Exercise mature judgment and creativity
    • Highly dependable with ability and willingness to work overtime as required
    • Adapt to and initiate change

      Compensation

      The Base Salary range for this position is between $50,000-$58,000. This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.

      Candidates must be legally authorized to work in the US to be considered. We are unable to provide visa sponsorship for this position.
