Administrative Assistant (Onsite)

About the role
The Administrative Assistant provides comprehensive administrative and operational support to the engineering leadership and team while serving as a central resource for site-wide business needs. This role requires professionalism, sound judgment, confidentiality, and the ability to operate effectively in a fast-paced environment.
Responsibilities
- Assist leadership by proactively managing complex calendars and possibly monitor email communication highlighting urgent matters requiring attention.
- Coordinate onsite and offsite meetings, events, meals, and employee engagement activities.
- Arrange domestic and international travel in accordance with company policies; prepare related expense reports.
- Serve as a primary resource for general site inquiries, visitor assistance, and information routing.
- Coordinate facilities service requests, shipping needs, and office supply ordering, tracking, and organization.
- Prepare meeting materials, presentations, reports, and documents using Microsoft Office Suite.
- Track and maintain departmental budgets and assist management in determining budget requirements.
- Support onboarding by coordinating workspace assignments, desk setup, and new-employee resources.
- Collaborate with other administrative professionals to ensure coordinated support across teams and functions.
- Administer organization of Teams, ALM, and SharePoint sites, including site content updates, user access, and assisting users with questions.
- Perform additional administrative and project duties as business needs evolve.
- Travel as needed.

Requirements
You Must Have:
- Typically requires HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
- Microsoft Office Suite experience.

- Verbal and written communication skills.
- Experience supporting multiple leaders or engineering organizations.
- Experience with Concur, SAP, Ariba, SharePoint, or similar administrative platforms.

- Experience coordinating site-wide events or supporting facilities, onboarding, or operational tasks.

Pay
The salary range for this role is 43,400 USD - 82,600 USD. The salary range provided is a good faith estimate representative of all experience levels.
