What You'll Do
- Front Desk & Guest Experience
- Welcome and support staff, visitors, families, and new hires with professionalism and warmth
- Answer and transfer phone calls, screening when necessary
- Answer the door and greet visitors, ensuring a positive and organized entry experience
- Maintain the visitor log and provide front-desk coverage throughout the day
- Keep the reception area, waiting room, conference room, and kitchen clean, organized, and inviting
- Administrative & Office Support
- Provide administrative assistance to HR, Finance, Program, and other departments
- Maintain filing systems; create, organize, and file documents as needed
- Retrieve information from records, emails, minutes, and other documents; prepare summaries when requested
- Respond to administrative inquiries and help resolve questions
- Aid new hires with electronic onboarding to ensure a smooth and supportive start
- Schedule meetings, manage calendars, and coordinate appointments for managers or supervisors
- Record and distribute meeting minutes or other required documentation
- Order office supplies, track inventory, and ensure essential items are always stocked
- Cook up office equipment needs and partner with the IT department when issues arise
- Document, Data, & Process Management
- Create and maintain file folders for staff, program, and administrative needs
- Obtain, distribute, and close maintenance requests for residential homes
- Obtain supply lists from group homes and ensure accurate tracking
- Receive, sort, and deliver mail
- Track and issue company equipment, ensuring logs are accurate and up to date
- Events, Engagement, & Other Support
- Lead and coordinate the Events Committee, overseeing engaging activities and celebrations for both the individuals we serve and our staff
- Receive and deliver office or home supplies as needed
- Perform light housekeeping tasks to maintain a professional office environment
- Jump in to support special projects and “other duties as assigned” to contribute to the overall success of the organization
Who You Are
- Strong interpersonal skills with the ability to greet and support staff, visitors, and families with warmth and professionalism
- Excellent communication skills, both written and verbal
- Hightly organized with the ability to manage multiple tasks, priorities, and deadlines
- Previous experience in an administrative, receptionist, or office support role
- Comfortable using technology, including Microsoft Office, email platforms, electronic onboarding systems, and digital record-keeping
- Strong attention to detail and accuracy in managing documents, files, and records
- Able to maintain confidentiality and handle sensitive information appropriately
- A proactive mindset — you anticipate needs, take initiative, and follow through
- Reliable, punctual, and committed to supporting day-to-day office operations
- Customer service–oriented with a positive and solutions-focused attitude
- Experience coordinating events or activities (a plus, but not required)
- Able to adapt to changes and support a fast-paced, mission-driven environment
- A High School Diploma or GED required
Schedule, Work Environment & Physical Expectations
- Schedule: Monday–Friday
- Hours: 8:00am–4:30pm
- Flexibility: Occasional after-hours support may be needed during special events for the individuals we serve
- Onsite Coverage: This position requires in-person attendance to provide consistent front desk and office support
