Key Responsibilities

  • Administrative and management support to the Executive Director to ensure effective communication and efficient operation of all programs.
  • Aid in department-wide and branch communication via email, newsletters, orientations, etc.
  • Assist with organizing, auditing, and tracking staff personnel records.
  • Maintain payment tracking/filing system for all donors using Salesforce.
  • Actively participate in training sessions, meetings, and special events such as board committees, board meetings, branch operation meetings, Annual fundraising initiatives, Health Kids Day, and all Open Houses.
  • Manage administrative department inventory, create requisitions, receive POs, resolve Invoice-on-Hold issues, respond to vendor inquiries, and facilitate invoices for payment.
  • Uphold all Association Policies and demonstrate the four core values of Respect, Responsibility, Caring, and Honesty.
  • Provide administrative assistance to other departments as required.
  • Support Afterschool and branch-based programs, including site coverage, as needed.

Desired Skills & Experience

  • Associate’s degree and experience in a related field, or equivalent experience required.
  • Bachelor’s degree preferred.
  • Two (2) to three (3) years of administrative experience and experience working with staff and volunteers.
  • Knowledge of Microsoft Office Word, Excel, Publisher, and PowerPoint.
  • Knowledge of Oracle, ADP, and Salesforce.
  • Excellent interpersonal communication – written and oral.
  • Strong interpersonal skills, leadership qualities, and comfortable working with diverse youth and adults.
  • Excellent project management and organizational skills.
  • Availability to work Monday through Wednesday from 10:00 am to 4:00 pm and Thursday from 10:00 am to 2:00 pm.
