Two administrative roles (Level I and Level III) are open in the Department of Ophthalmology Services. The department may hire at either level based on business need and budget.

About the roles

Administrative Assistant, I – Entry-level position supporting Ophthalmology providers with basic scheduling, travel, clinical operations, and process management. Includes greeting and assisting patients, guest services, and providing audio-visual/multi-media support for meetings, training, and events.

Administrative Assistant, III – Skilled-level role providing complex administrative support for Ophthalmology providers, housestaff, the Vice Chair of Global and Community Outreach, and the Glaucoma Fellowship Director. Responsibilities include coordinating surgical schedules, academic activities, community outreach, event coordination, and clinical studies. Requires strong communication, organization, and proficiency with Microsoft365, AI tools, and Epic.

Responsibilities

Administrative Assistant, I

  • Greet and assist patients and team members in Guest Services.
  • Support Ophthalmology providers, housestaff, and optometrists with scheduling, academics, travel, clinical operations, and process management.
  • Coordinate with community clinics and optometrists.
  • Provide audio-visual services, event coordination, and backup coverage for the Guest Services Desk.
  • Participate in cross-coverage, backup support, team-building activities, and departmental support.

Administrative Assistant, III

  • Support Ophthalmology providers and housestaff with scheduling, academics, travel, clinical operations, and process management.
  • Coordinate community outreach and support the Vice Chair of Community Outreach.
  • Manage provider schedules, meetings, fellowship rotations, and advanced administrative tasks with minimal supervision.
  • Participate in cross-coverage, backup support, team-building activities, and departmental support.

Requirements

Equivalency Statement: One year of higher education may substitute for one year of directly related work experience (e.g., a bachelor’s degree equals four years of experience).

Administrative Assistant, I

  • Little to no related experience required.
  • High school diploma or equivalency (one year of education may substitute for two years of related work experience).
  • One year of full-time customer service experience or equivalent.
  • Demonstrated human relations and effective communication skills.
  • Potential to perform essential job functions as outlined in the position description.
  • Strong writing, communication, and organizational skills with the ability to multitask.
  • Self-directed with strong decision-making skills.
  • Proficiency in computer, presentation software, and A/V equipment.

Administrative Assistant, III

  • Three or more years of related experience required.
  • At least two years of experience in a medical setting with basic knowledge of medical processes and terminology.
  • Strong writing, communication, and organizational skills with the ability to multitask.
  • Self-directed with strong decision-making skills.
  • Skilled in event/meeting coordination and process management.

Pay

  • Administrative Assistant, I: $15.00 – $18.75 per hour.
  • Administrative Assistant, III: $22.00 – $25.40 per hour.

Full-time position located on campus. Open until filled; close date: 08/08/2026.
