Responsibilities

The Administrative Assistant provides administrative and clerical support for the facility. Duties may be complex in nature and may involve access to confidential information.

  • Aids in the daily business of managers by performing general office work, answering phones, typing letters, sorting and distributing mail.
  • Performs confidential and complex administrative duties for senior management, including maintaining confidential and general files and manuals, ordering supplies, and completing other relevant tasks.
  • Coordination of the efficient operation of the office by coordinating and completing associated business reports, researching, preparing, and editing memos, letters, reports, and presentations.
  • Orders office supplies, schedules and coordinates meetings and appointments, and makes travel arrangements.
  • Ensures that all assigned projects are completed in a timely and efficient manner and follows up on administrative details.

Qualifications

  • High school diploma or GED certification required.
  • College level courses preferable but not mandatory.
  • Two (2) years experience as a secretary or administrative assistant.
  • Must be proficient in Microsoft Word, Excel, Power Point, Outlook and use of the internet.
  • Must have excellent oral and written communications skills and organizational skills.
  • Maintain a high level of confidentiality.
  • Ability to handle moderate assignments under general supervision.
  • Must be punctual for work and meetings.
  • Must be able to interact effectively with co-workers.
  • Must be able to understand and follow posted work rules and procedures.
  • Must be able to accept constructive criticism.
  • Must be able to work effectively as a member of a team.
  • Must be able to use personal computers and associated software applications.
