Administrative Assistant - Engineering
General Summary:
TechServ is seeking a motivated and detail-oriented Administrative Assistant to support our growing team of designers and field personnel. About the Role:
Right-of-Way (ROW) Application Management:
- Responsible for ROW application tracking, creating Work Order requests, and other paperwork related to construction project lifecycles
- Ensure all required documentation and forms are completed accurately
- Track the progress of applications and follow up as needed
Communication and Coordination:
- Serve as a point of contact for inquiries related to client processes such as staking, ROW, etc.
- Schedule meetings, inspections, or other activities related to client deliverables
Record-Keeping and Documentation:
- Maintain organized and up to date project records, including applications, work orders, and correspondence
- Update databases or filing systems with current information
- Generate reports or summaries of statuses and activities
Compliance Monitoring:
- Monitor compliance with conditions and deadlines
- Alert appropriate parties to upcoming expirations or renewals
- Auxiliary in preparing reports or documentation required for compliance audits
Administrative Support:
- Provide general administrative support such as answering phones, responding to emails, and managing calendars
- Prepare correspondence, memos, or other documents related to client activities
- Auxiliary in standardizing processes, templates, and tracking tools
Required Qualifications:
Strong organizational skills with attention to detail and ability to multitask
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook, Teams, PowerPoint)
Ability to manage multiple priorities in a fast-paced environment
Strong work ethic and reliability
Must currently be eligible to work in the United States of America
High School diploma or GED
Ability to pass a background check, Motor Vehicle Report and drug screening
Preferred Qualifications:
Familiarity with Enterprise Asset Management (EAM) systems (e.g., IBM Maximo, SAP Asset Manager, MaintainX)
Familiarity with utility design or field data collection tools (e.g., Spida, Trimble, Katapult)
Experience in utilities, construction, or permitting environments
Previous administrative or office experience
Proficiency with document tracking systems or databases
Experience coordinating schedules or working with field teams
Physical Requirements:
Work is performed in a professional office environment and requires the use of standard office equipment (e.g., computer, phone, printer)
Prolonged periods of sitting and working on a computer are required
Occasional standing, walking, and movement throughout the office to access equipment and collaborate with team members
The ability to view a computer screen for extended periods, requiring good vision or corrective lenses if needed
May occasionally lift, carry, push, or pull up to 15 pounds
Able to manage multiple tasks and meet deadlines in a fast-paced environment
