General Statement of Job
The Administrative Assistant I performs administrative and clerical duties in support of University programs and staff.
Specific Duties and Responsibilities
- Conducts various projects for administrative divisions.
- Screens incoming calls and correspondence and responds independently when possible.
- Arranges programs, events, or conferences for facilities and caterers; issues information or invitations, as needed.
- Prepares confidential correspondence, reports, and other complex documents.
- Photocopies correspondences, tests, handouts, reports, and other documents.
- Creates and maintains databases and spreadsheet files.
- Enters data in the computer from various applications and prospect forms.
- Orders and maintains office supplies and printed material.
- Tracks budget information.
- Supervises students taking exams.
- Performs other related duties as required.
Education, Experience, and Licenses
- High School diploma or GED required.
- One year certificate from college or technical school.
- Three to six months related experience and/or training; or equivalent combination of education and experience.
- Valid Driver's License preferred.
Knowledge, Skills, and Abilities
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
