Who We're Looking For

We are seeking an in-person Administrative Assistant for our energetic team in Denver. This role involves owning calendars, travel and expenses for originators, and maintaining a welcoming office environment.

Executive Support Responsibilities

  • Problem-Solving Prodigy: Identify potential issues before they arise and propose effective solutions.

  • Independence Expert: Work autonomously to prioritize and manage tasks efficiently.

  • Master of Details: Execute tasks with precision, paying meticulous attention to details.

  • Speed Maestro: Navigate through tasks swiftly and effectively, adapting to a fast-paced environment.

  • Technical Communication Champion: Facilitate effective communication between originators and clients, ensuring information flows seamlessly.

  • Travel & Schedule Coordination Expert: Oversee all aspects of travel arrangements, including booking flights, accommodations, assisting with venue selection, managing itineraries, and handling last-minute changes.

Front Office & Client Experience Responsibilities

  • Engagement Specialist: Prepare correspondence with sophisticated communication, embodying professionalism, credibility, and engagement to every interaction.

  • Brand Ambassador: Uphold the company's brand image and values through professional demeanor, appearance, and behavior, acting as a brand ambassador, positively representing the organization's culture and values to clients, visitors, and employees.

  • Office Operations Specialist: Ensure the office runs smoothly by managing conference room bookings, maintaining a well-organized workspace, and overseeing supply inventory.

Qualifications

  • At least 5+ years of experience directly supporting Director or C-Level personnel.

  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams, OneNote, and PowerPoint).

  • Demonstrated ability to work independently and under tight deadlines.

  • Exceptional organizational and time-management skills.

  • Detailed mindset with a commitment to precision.

  • Positive, can-do attitude, and a sense of humor.

  • Confidence in managing up, giving honest feedback, and pushing back when necessary.

Environment

  • Typical work week: 50 hours.

  • Denver office: Monday - Thursday, 8a-5p.

  • Virtual Fridays unless needed in office from time to time.

  • Ability to provide support for urgent situations outside of normal business hours (e.g., travel cancellations, changes in meetings).

  • Sedentary role, but occasionally requires lifting up to 30 pounds.

  • Candidates should be able to lift up to 30 pounds.

  • High level of polish required due to being the first contact for clients.

  • Visible tattoos do not align with professional appearance standards.
