Job Responsibilities

  • Own and manage complex executive calendars for up to three leaders, ensuring strategic alignment with business priorities, resolving scheduling conflicts, and proactively addressing competing demands
  • Coordinate team operations including meetings, events, offsites, communications, and employee engagement activities from planning through execution
  • Support recruitment efforts by posting requisitions, scheduling interviews, coordinating candidate logistics, and facilitating onboarding for new team members
  • Manage expense reporting, reconciliation, and adherence to corporate budget policies with a high degree of accuracy and organization
  • Oversee procurement of technology equipment, office supplies, reference materials, and vendor engagements
  • Serve as a primary point of contact for the department, providing proactive office support and ensuring seamless day-to-day business operations
  • Drive special projects and operational initiatives, partnering with stakeholders across the organization to deliver successful outcomes
  • Identify and implement process improvements that enhance team efficiency and operational excellence

Requirements

  • 5–7 years of relevant administrative or executive support experience in a corporate environment
  • 5–7 years of demonstrated experience managing complex executive calendars and strategic scheduling for one or more senior leaders
  • 5–7 years of experience with Microsoft 365 tools, including creating and streamlining business processes and communications
  • 5–7 years of experience coordinating travel logistics and managing expense reporting with high accuracy and organizational discipline
  • Cloud Attestation certification required prior to or upon commencement of assignment
  • High school diploma or equivalent required; associate's or bachelor's degree preferred
  • Prior experience in a large corporate or enterprise environment strongly preferred
  • Stable and consistent work history demonstrating long-term commitment and reliability
  • Advanced proficiency in Microsoft 365 tools, with particular expertise in Outlook and calendar management
  • Demonstrated ability to manage multiple complex executive calendars simultaneously, including strategic scheduling and meeting prioritization
  • Strong stakeholder communication skills with the ability to interact effectively at all organizational levels
  • Exceptional attention to detail and organizational skills with the ability to manage multiple priorities under tight deadlines
  • Proven experience coordinating travel logistics and managing expense reporting with accuracy and a customer-focused approach
  • Ability to handle sensitive and confidential information with professionalism and discretion
  • Proven problem-solving skills and a proactive approach to identifying and resolving operational challenges
  • Collaborative team player with the ability to build strong working relationships across a large organization
