About the role
We are seeking a motivated administrative assistant to provide clerical support for our customer service and accounting department.
Responsibilities
- Answer calls to the main line and calls routed through the receptionist
- Order office/kitchen/lunch room supplies and manage stock of supplies
- Schedule incoming material deliveries of PO’s
- Prepare and schedule Fedex Express and Fedex Ground shipments and manage Fedex supplies
- Scan and file work orders
- Scan and file sales orders
- Aid Purchasing with management of PO folders/files
- Aid Quality Department with receiving of PO’s and contacting vendors with questions or for documentation
- Aid Operations with ordering shop supplies, parts, etc
- Aid Cust Svc with outbound shipments when necessary (print paperwork and schedule carriers)
- Aid Cust Svc with order entry when necessary
- Aid Accounting with tasks such as payables & billing
- Provide customers with copies of sales order paperwork when requested
Requirements
- High school diploma or equivalent preferred
- Highly organized and able to successfully manage multiple projects at once
- Strong communication skills
Qualifications
- Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
