About the role
The Society of St. Vincent de Paul is seeking an Administrative Assistant to provide administrative and operational support to the Director of Vincentian Services while assisting colleagues as needed, playing an important role in advancing the Society’s mission‑driven work.
Responsibilities
- Process office and member correspondence, including outgoing mailings and email communications
- Answer and assist with incoming calls, including requests for assistance and conference‑related inquiries
- Support maintenance of local and national membership databases
- Assist with fulfillment of material and supply requests
- Maintain up‑to‑date issued materials, including booklets, brochures, training materials, and flash drives or DVDs
- Provide administrative support for new and existing office or conference programs
- Stay informed of local and national Society updates and communicate member or community concerns to the Director
- Provide general office support to colleagues as needed
Requirements
- Associate’s degree or an equivalent combination of education and administrative experience
- Strong administrative skills, including proficiency with email, voicemail systems, and standard office equipment
- Proficiency with Microsoft Office Suite, including the ability to prepare and maintain documents, spreadsheets, and Power Point presentations
- Ability to multitask, prioritize responsibilities, and maintain strong attention to detail in a busy office environment
- Familiarity with social media platforms, including posting content and supporting basic online communications
- Exercises sound judgment and discretion in handling sensitive and confidential information, maintaining the highest standards of privacy and integrity in all interactions
- Demonstrated professionalism, discretion, and reliability when working with colleagues, members, and the individuals served by the organization, with a calm, even-keeled demeanor when navigating challenging situations or shifting priorities
- Service‑oriented mindset with a collaborative, “roll‑up‑your‑sleeves” approach to supporting team needs
- Ability to travel out of state for a 5-day training program (required within 12 months of hire)
- Occasional evening and Saturday hours as needed (approximately ten Saturdays per year); overtime compensation provided for hours worked over 40 in a workweek
- Bilingual skills preferred

Pay and Schedule
Salary range $26 – $28/hour, with an on-site schedule of Monday through Friday, 9:00 am to 4:30 pm, and occasional Saturdays required, 8:00 am to 4:00 pm (~10 per year/overtime eligible)
