About the Position
We are looking for a professional, dependable, and personable Administrative Assistant to support our Bellevue office and serve as a first point of contact for prospective clients, current clients, professional advisors, and referral sources. This role is centered on client communication and includes assisting with intake, managing referrals, supporting signing meetings, preparing and processing documents, and helping maintain a welcoming and organized office.
Key Responsibilities
- Serve as the first impression of the firm by greeting clients, answering phones, responding to emails, and assisting walk-ins with professionalism and warmth
- Serve as a primary first point of contact for prospective clients, current clients, professional advisors, and referral sources
- Manage and route incoming communication, including phone calls, emails, website forms, text messages, in-person requests, and physical mail
- Provide active, high-touch support to prospective clients who need assistance understanding or completing intake forms, scheduling, and next steps
- Aid clients who may be less comfortable with technology, online forms, or automated communications
- Manage incoming referrals and advisor communications and ensure referral information and follow-up needs are documented and communicated
- Collaborate closely with other staff, especially the Seattle Administrative Assistant, to ensure prospective clients move through the intake process and receive timely follow-up
- Communicate changes in client status, completed forms, scheduling needs, and other updates to the Seattle Administrative Assistant, who will manage the internal system and ongoing progress of the matter
- Help ensure clients feel supported and informed from the moment they contact the firm
- Recognize and escalate legal questions, urgent concerns, stalled matters, and unanswered client needs to the appropriate attorney, paralegal, or team member
- Prepare and finalize documents for signing meetings, including printing, reviewing for accuracy, and organizing presentation packets
- Remain available to support Bellevue signing meetings and witness documents when needed
- Scan, process, and mail fully executed documents and maintain digital and physical client records
- Email clients PDF copies of signed documents and coordinate document pickup or delivery
- Maintain Bellevue signing, portfolio, mailing, and office inventory
- Maintain front office tidiness and presentation, including supply stocking and light office upkeep
- Provide general administrative support to attorneys and staff as needed
Qualifications
- Bachelor's degree or equivalent professional experience required
- Strong attention to detail and pride in professional presentation of documents and office space
- A people person who enjoys working with clients and helping them feel comfortable, heard, and supported
- Tech-savvy and comfortable with email platforms, phone systems, document management, and office hardware (scanners, printers, postage machines)
- Confident, proactive, and able to take direction while working as part of a collaborative team
- Strong follow-through and the ability to communicate effectively with coworkers working from another office

Position Details
- Location: Seattle office, with flexibility to work from our Bellevue location as needed
- Work Schedule: Monday–Friday, during standard business hours (office is open to clients from 9:00 a.m. to 5:00 p.m.)
- Employment Type: In-person and Full-time
- Compensation: Hourly
- Pay Range: $25 - 30/hour
- Classification: Hourly (non-exempt)
- Start Date: Ideally by August 3, 2026, or sooner
