About the role
The Administrative Assistant position at Glenwell, a DePaul Senior Living Community, aims to maintain all records in accordance with state regulations and facility policy. The role also includes assisting with designated business functions and business office management.
Responsibilities
- Maintains all records in accordance with state regulations and facility policy.
- Processes incoming and outgoing mail; ensures residents receive their mail timely.
- Assists with receivables and banking functions, including but not limited to resident spending, petty cash, and collections.
- Maintains inventory of office supplies and forms; orders as needed.
- Arranges for maintenance of office equipment.
- Maintains daily census.
- Assembles and maintains a supply of new admission packets for resident admissions.
- Aids in completing resident admissions.
- Checks admission information for accuracy and completeness.
- Completes all resident admission and discharges in the AWARDS program timely.
- Assembles record for permanent filing upon discharge of resident.
- Holds in confidence all information contained in the resident’s record and other documents pertaining to the resident (includes family information).
- Assembles and maintains a supply of new employee packets.
- Aids in the hiring approval process.
- Aids in the New Employee Orientation process.
- Maintains personnel files.
- Affirms employee information is kept current and confidential.
- Maintains attendance records on employees.
- Maintains a record of in-service and training attendance.
- Assists with marketing.
- Attends all in-services and assists as needed.
- Performs all other duties and special projects as assigned.
- Promotes loyalty among staff, generates positive attitude in facility by demonstrating support of the policies and procedures.
Qualifications
- Must be at least eighteen (18) years of age and hold a high school diploma or GED.
- Minimum of one year experience using office / business skills.
- Required references and criminal record check.
- In good standing with the Health Care Personnel Registry.
- Documentation that he / she is free from tuberculosis disease that poses a direct threat to the health and safety of others.
- Good organizational and multi-tasking skills.

Pay
The pay range for this job is $18.00 - $18.30 per hour.
Schedule
