About the role

This role provides comprehensive calendar, expense, and travel support for senior leadership. It acts as a central point of contact to triage and resolve various team support requests, including operational questions and work stoppages. It supports team needs related to office transitions, morale-building activities, professional development, training initiatives, and organizational events. It collaborates with other administrative and staff roles to share team updates and best practices across the organization. It oversees general office duties such as ordering supplies and maintaining records management systems. It reviews and processes invoices, reports, memos, letters, financial statements, and other critical documents. It analyzes incoming communications and reports to determine their significance and facilitates appropriate distribution. It prepares agendas and coordinates arrangements for various meetings, committees, and boards. It manages travel logistics and meeting planning.

Responsibilities

  • Support team needs related to office transitions, morale-building activities, professional development, training initiatives, and organizational events.
  • Collaborate with other administrative and staff roles to share team updates and best practices across the organization.
  • Oversight of general office duties such as ordering supplies and maintaining records management systems.

Requirements

  • High school diploma or GED.
  • Minimum of 8-10 years of overall professional experience.
  • At least 6 years of recent experience (within the last 5 years) specifically in an administrative, business support, or executive assistant role.
  • Proven experience supporting senior leadership/executives.
  • Demonstrated experience supporting a medium to large-scale organization or team (e.g., 100+ individuals).
  • Proficiency in standard office productivity suites (e.g., word processing, spreadsheets, presentation software).
  • Exceptional verbal and written communication skills.
  • Strong multi-tasking, customer service, and interpersonal skills.
  • Ability to work independently and manage time effectively.
  • Strong organizational skills and ability to maintain confidentiality.
  • Proven ability in event planning.

Nice-to-Have Qualifications

  • Experience working within the technology industry within the last 10 years.
  • A track record of successfully delivering to deadlines and performing effectively under time constraints or with limited resources.
  • Strong leadership and mentoring skills to provide support and constructive feedback.
