Administrative Assistant
Job Summary
Provide clerical support to the program. Administrative support duties and responsibilities such as reception, filing, phones, reports, ordering supplies, and sorting mail.
Responsibilities
- Screen and direct calls.
- Administer administrative support for the Program Manager (PM) i.e., preparing communications and reports.
- Use and navigate Microsoft Office software, spreadsheets, databases.
- Greet and assist visitors and clients.
- Log receipt of checks and/or cash, deposit in appropriate account through designated channels.
- Aid in general operation of facility including organization and cleanliness, errands, office supplies inventory, ordering, and office equipment maintenance.
- Open clients in EHR and enter data such as demographics.
- Maintain confidentiality of client’s care.
- Participate in scheduled program meetings.
- Other relevant duties as assigned.
Qualifications
- High School Diploma or GED required.
- Valid CA driver’s license and current auto insurance per contract requirements required.
- Knowledge of Microsoft Office and EHR software preferred.
- Cultural Competency understanding required.
- Bilingual preferred.
- If substance use disorder program, a negative tuberculosis test (TB) is conducted under licensed medical supervision within 45 working days of hire or within 5 working days of employment and valid cardiopulmonary resuscitation (CPR) and first aid certification upon hire or within 90-days of employment.
