PRINCIPAL ACCOUNTABILITY
- Provides a full range of administrative support to the Facilities & Fleet team in a professional and timely manner, as well as personalized support to the Director of Facilities and Fleet (Director).
- Aids with scheduling, correspondence, document preparation, meeting coordination, and departmental and project support.
- Fosters effective communication across internal and external stakeholders to ensure efficient daily operations.
- Maintains strict confidentiality and professional appearance and attendance in a fast-paced environment.
- Exemplifies and champions Carter BloodCare (CBC) Core Values and Code of Conduct, adhering to CBC policies and applicable Standard Operating Procedures (SOPs).
- Attends meetings and training sessions as assigned to support ongoing development and organizational goals.
- May require working varied shifts, extended hours, weekends, and/or overtime to support operational needs.
Qualifications
- Minimum of 3 years of experience as an Executive (or other senior level) Administrative Assistant
- Familiarity with facilities or construction environments, preferred
- Education: High School Diploma or GED equivalent, Associate’s Degree preferred
- Skills and Knowledge: Ability to manage multiple priorities, meet deadlines, and maintain strong attention to detail in a fast-paced environment; Strong written and verbal communication skills; Exceptional organizational skills; Proficient in Microsoft Office Suite and virtual meeting technologies; Exhibits initiative, discretion and professionalism; Strong problem-solving skills; Strong interpersonal skills with a collaborative, service-oriented approach
EQUIPMENT USED
- Computer and associated equipment, along with common software and CBC-specific applications/programs
- General office supplies and equipment, including telecommunications
PHYSICAL/MENTAL STRESS FACTORS
- Primarily a sedentary job that requires the ability to sit, walk, stand, bend, and move up to 20 pounds
- Mental stress due to tight deadlines and project implementation, within limits anticipated due to the nature and scope of this position
- Ability to stay calm and on task in high-stress situations
