About the role

In this pivotal role, you will be instrumental in ensuring the smooth operation of a team focused on designing and enhancing various digital experiences. You will directly contribute to the efficiency and effectiveness of key leaders, enabling them to focus on strategic initiatives that drive the company’s mission forward. Your ability to anticipate needs, manage complex logistics, and maintain seamless communication will be crucial to the success of high-visibility projects and the overall productivity of the team.

Responsibilities

  • Manage complex calendars and schedules for senior leadership, anticipating conflicts and proactively resolving issues.
  • Coordinate comprehensive travel arrangements, including itineraries and logistics.
  • Plan and execute meetings and events, ensuring all necessary resources and preparations are in place.
  • Support department financial and personnel operations, including processing expenses and assisting with onboarding/offboarding processes.
  • Manage facility operations, ensuring a well-organized and functional work environment.
  • Order hardware, peripherals, and other necessary supplies for the team.
  • Lead and participate in special projects as assigned, demonstrating initiative and problem-solving skills.
  • Actively participate in centralized events, such as morale-building activities and conferences.

Requirements

  • Minimum of 18 months of relevant professional experience in an administrative support role.
  • Proven ability to manage complex calendars, especially for senior leadership.
  • Exceptional attention to detail and strong organizational skills.
  • Proactive approach to anticipating needs and taking initiative without explicit direction.
  • Strong written and verbal communication skills, with the ability to effectively interact with diverse stakeholders and draft professional correspondence.
  • Demonstrated ability to thrive in a fast-paced, dynamic environment, adapting quickly to changing priorities.
  • Experience coordinating events, meetings, or team logistics.
  • Ability to work independently and anticipate business needs.

Qualifications

  • Previous experience with a large technology company.
  • Familiarity with standard business tools and internal systems (e.g., expense, travel, procurement).
  • A background in customer service is highly valued.
