Administrative Office of the Courts – Administrative Assistant 1, Full-Time, Permanent position in Albuquerque, NM. Position is assigned to the Civil Division. Court Monitor Certification must be obtained within six (6) months of hire.

Duties

  • Provide clerical and administrative support.
  • Prepare documents, perform data entry, electronically file documents, make copies, and mail or disseminate records.
  • Serve as a Court Monitor: attend court proceedings, ensure an audible recording of judicial proceedings, and receive and maintain court exhibits.
  • Maintain a docket or calendar of deadlines and appointments.
  • Manage and coordinate the timely processing of documents, correspondence, and records.
  • Manage and track information and data using electronic databases.
  • Route files and information to appropriate destinations.
  • Answer telephones, provide customer service, and greet visitors.
  • Support judges and staff; coordinate and schedule meetings, facilities, training, testing, vehicles, travel, staff, video conferencing, and teleconferences.
  • Take minutes and provide support to facilitator committees and staff.
  • Compile and prepare statistical reports or analysis.
  • Act as site coordinator to coordinate services with outside vendors.
  • Receipt, balance, reconcile, and distribute incoming monies.
  • Order supplies and ensure equipment is maintained.
  • Perform records maintenance and management, including retention or destruction of records.
  • Assist in the courtroom or with court programs as needed.
  • Perform other duties as assigned.

Qualifications

  • Education: A high school diploma or GED.
  • Experience: Two (2) years of experience providing administrative, secretarial, or clerical support; customer service; answering phones in an office environment; working at a front desk; handling money in an office environment; or related field.
  • Education Substitution: Additional post-secondary education in a related field may substitute for up to one (1) year of experience. Thirty (30) semester hours equals one (1) year of experience.

Work Environment and Physical Demands

  • Work is performed in an office or court setting.
  • A valid driver’s license and travel may be required.
  • Assigned work schedule may include nights, weekends, holidays, and overtime.
  • Regular interaction with co-workers, clients, the public, judges, and justices.

Pay

$17.863–$22.329 per hour or $37,155.01–$46,444.32 annually.
