Summary Of Responsibilities
- Provide advanced and confidential administrative support, including preparing correspondence, meeting minutes, and reports;
- Manage faculty activity databases;
- Maintain knowledge of university policies and procedures;
- Cook up and submit departmental reports, publications, newsletters, and other documentation;
- Manage departmental financial activities, including payroll processing, timecards, hiring paperwork (PAFs, ESAFs, EPAFs), requisitions, travel requests, purchase orders, catering orders, index tracking, and budget reconciliation;
- Serve as the first point of contact for students, faculty, and visitors by answering phones, assisting walk-ins, and providing accurate information about university and departmental services;
- Maintain and monitor inventory of office supplies and equipment; manage ordering, receiving, billing, and distribution of materials;
- Support department leadership by facilitating communication, acting as a liaison with the Dean's Office, assisting with problem resolution, and performing other duties as assigned.
Qualifications / Licenses / Certifications
- Graduation from an accredited institution with a bachelor's or an associate's degree and two years of experience related to the summary of duties;
- OR any combination of education and/or experience totaling four years.
- Preferred Qualifications:
- Graduation from an accredited institution with a bachelor's degree plus one year of experience related to the Summary of Duties;
- OR any combination of education and/or experience totaling five years.

- Knowledge:
- Office operations;
- Event planning;

- University procedures & policies;
- Proficiency:
- In Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and other business software;
- Skills:
- Preparing and interpreting reports, charts, and budgets;
- Excellent organizational, time management, and multitasking abilities with strong attention to detail;
- Effective interpersonal, customer service, and problem-solving skills.
- Abilities:
- Maintain confidentiality and handle sensitive information with discretion;
- Comfortable working independently and collaboratively in a fast-paced environment;
- Willingness to support occasional evening/weekend events and adapt to shifting priorities.
