About the Role

The Administrative Manager Associate of the Taubman Medical Specialties Ambulatory Care Unit (ACU) partners with the Medical Director and the Nurse Supervisor to oversee the overall performance and management of a moderately sized, complex outpatient clinic. This position provides administrative leadership and operations management for the ACU and supports service line operational initiatives at Michigan Medicine.

Responsibilities

  • Care Delivery
    • Implement clinical care models, guidelines, and standards at the ACU level.
    • Oversee provider deployment and identify non-provider staffing needs for the clinic.
    • Review visit and productivity data to revise the staffing model as needed.
    • Analyze and optimize clinic workflows, including referral management, scheduling, check-in, MA workflow, staff-provider interface, check-out, and call activity.
    • Pilot new care models to support value-based care delivery.
  • ACU Operations
    • Supervise and direct operational administrative and clinical staff, fostering their professional development.
    • Oversee day-to-day operations of the ACU, ensuring regulatory compliance with CMS, JC, CAP, and other agencies.
    • Lead onboarding of new providers and support staff into the clinic.
    • Manage hiring, discipline, and termination of clinical support and administrative staff in collaboration with the triad leadership team.
    • Evaluate clinical support and administrative staff performance.
    • Provide feedback on operational issues involving providers in the ACU.
    • Manage routine clinic operations (e.g., scheduling, billing, referral management).
    • Develop and oversee efforts to recognize and incentivize staff excellence.
    • Identify and implement quality improvement opportunities in ACU operations.
  • Collaboration with Centralized Support Services
    • Collaborate with IT for required support services at the ACU level.
    • Work with support services functions to ensure operational goals are met.
  • Space Management
    • Monitor and allocate space utilization within the ACU.
    • Identify improvements for ambulatory facilities, including construction, renovation, and major equipment purchases.
  • Patient Care
    • Develop and oversee policies to ensure patient satisfaction, including analyzing patient and family feedback and implementing action plans.
    • Address and follow through with patient/family feedback and complaints, implementing process improvements.
    • Oversee policies to ensure safety within the ACU (e.g., physical structure, staff emergency readiness).
    • Collaborate with the Medical Director and Nurse Supervisor to review incident reports and ensure appropriate follow-up.
    • Establish and enforce ACU provider onboarding policies, ensuring adequacy of resources (e.g., rooms, schedule, staff).
  • Clinical Performance
    • Establish performance goals for the ACU in alignment with Medical Specialties goals.
    • Partner with the Medical Director to ensure clinical provider scheduling aligns with ACS operational principles.
    • Resolve clinical and operational problems at the ACU level.
  • Operational and Financial Performance
    • Communicate performance metrics regularly to providers and staff in the clinics.
    • Monitor operational and financial performance metrics at the ACU level.
    • Establish an ACU-level financial plan for the upcoming year in collaboration with triad leadership.
    • Prepare, monitor, and manage billing and other fiscal activities, including charges and collections, initiating corrective action where needed.
  • Core Responsibilities
    • Regularly review ACU processes to ensure compliance with institutional goals, objectives, policies, standards, and guidelines.
    • Evaluate supporting function operations, identifying areas for improvement.
    • Identify, communicate, share, and present operational, performance, and financial metrics and best practices to providers, staff, and leadership.
    • Represent ACS on committees and provide leadership in ACU and Site Leadership Meetings.
    • Foster a collaborative environment by nurturing team-based care in a positive, collegial, and professional manner.
    • Develop and communicate interpretations of Michigan Medicine/ACS policies to staff, faculty, and outside agencies/groups as needed.
    • Participate actively in weekly and monthly meetings, providing data, action planning, and administrative leadership.
    • Engage in an operations oversight role over additional ACUs to support effective service line engagement across the enterprise.

Requirements

  • Bachelor’s degree.
  • 1 to 3 years of supervisory experience.
  • Demonstrated ability to facilitate teamwork necessary for day-to-day operations.
  • Effective communication, interpersonal, and conflict management skills.
  • Demonstrated skill in change management.

Qualifications

  • Prior management/supervisory experience is preferred.
  • Knowledge of University of Michigan policies and procedures.
  • One or more years of experience in ambulatory care.
  • One or more years of experience in Dermatology.
