Job Summary

The Admin III Behavioral Health Administrator provides overall coordination and support for behavioral health and chemical dependency programs, while supporting the daily administrative functions for a YMCA branch site. This position works primarily out of our Seattle office and supports the daily operations of clinical staff throughout the Y’s 14 branches. The Behavioral Health Administrator often serves as a first point of contact for anyone engaging with the behavioral health and chemical dependency programs. The Behavioral Health Administrator must be highly skilled at multi-tasking, prioritizing, and organizing, while being excited to interact with clients, staff and visitors. This position is at the Social Impact Center Y, the social services branch of YMCA of Greater Seattle (YGS).

Responsibilities

  • Responsible for overall administrative and client support for behavioral health and chemical dependency teams, including greeting and scheduling clients, handling incoming phone calls, records requests, referrals, and paperwork.
  • Verifying insurance eligibility and communicating benefit information to clients.
  • Collecting service fees, tracking payments, and monitoring accounts for delinquent charges.
  • Tracking and managing provider NPI numbers and credentialing.
  • Maintaining client and personnel records in accordance with regulatory and contract requirements.
  • Updating and generating reports to notify clinical staff when reviews and renewals are due.
  • Responding to requests for information from clinical staff, government offices, and others.
  • Developing and maintaining effective, professional relationships with all clients, families, and staff.
  • Providing overall administrative support to programs and department staff and staying current with program changes.
  • Compiling and preparing data/reports on a daily, monthly, quarterly and yearly basis.
  • Identifying and documenting trends to bring forward to leadership.
  • Aiding in audit preparation.
  • Maintaining relational databases, processing paperwork, and maintaining related directories and files.
  • May train, coordinate, and/or schedule staff and/or volunteers.
  • Other duties as assigned.

Qualifications

  • Two or more years’ experience or training in a medical or behavioral health office.
  • Demonstrated experience working with complex data and maintaining database.
  • Strong professional and organizational skills with attention to details, timeliness and follow-through.
  • Proficiency with Microsoft Office Suite and web-based electronic records.
  • The ability to work well within a fast-paced, constantly changing environment.
  • Responsive to quick turnaround times and able to manage multiple deadlines.
  • Knowledge of and previous experience with diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
  • Personal, professional, educational, volunteer, and non-traditional experiences are all relevant.
