About the role
Join a mission-driven nonprofit that has been leading the way in supporting children, teens, and adults with autism, intellectual and developmental disabilities, and behavioral health challenges for more than 170 years. As a General Admin Assistant, you will provide essential support to executives, vice presidents, and departments, ensuring efficient and compliant office operations.
Schedule
Monday through Friday, 8:00 AM – 4:00 PM.
Pay
$21.32 per hour.
Responsibilities
- Provide a welcoming environment by answering calls professionally, greeting visitors and staff, and addressing customer needs.
- Receive and direct incoming calls in a patient, professional, and courteous manner; answer questions and transfer calls as needed.
- Report repairs or maintenance issues to supervisors and submit work orders through the online system.
- Open, sort, and distribute incoming mail.
- Create and complete various types of correspondence, including reminder letters, discharge letters, and requests for medical or school records.
- File documents (both paper and electronic) and maintain the filing system.
- Update and maintain email distribution lists to ensure accurate delivery of communications.
- Arrange meetings by scheduling, booking rooms, ordering refreshments, and taking minutes.
- Create and update spreadsheets, records, and databases, including personnel and other data.
- Order and maintain office supplies for the department.
- Contact IT on behalf of staff to address technological issues, including telephones, computers, networking, and printers.
- Perform other duties as assigned.
Requirements
- Associate Degree or specialized training in administrative/office work preferred.
- Two (2) years of experience in an administrative setting required; corporate/administrative experience preferred.
- Experience with Microsoft Visio for diagrams, org charts, and process flow charts, as well as quality improvement tools (control charts, histograms, run charts) preferred.
- Demonstrated ability to work effectively as part of a team.
- Strong attention to detail, time management, and organizational skills.
- Ability to anticipate needed changes, identify problem areas, and take effective actions.
- Ability to work in a fast-paced environment and manage multiple, competing priorities.
- Excellent customer interaction, collaboration, presentation, and written/verbal communication skills.
- Intermediate experience with Microsoft Office (Word, Excel, Outlook, PowerPoint), Elwyn’s electronic health records system, and electronic billing systems.
- Experience with Electronic Health Record (EHR) / Electronic Medical Record (EMR) systems preferred.
- Current, valid driver’s license in the state of residence with a minimum of two (2) years of driving experience in the U.S. and an acceptable driving record (reviewed for the past three years). Employees required to drive may need to pass an Elwyn Road Test.
