About the Role

The Front Desk Administrator serves as the first point of contact for visitors, clients, vendors, and employees, creating a professional and welcoming experience while ensuring efficient day-to-day office operations.

Responsibilities

  • Front Desk & Reception
    • Greet and assist visitors, clients, and employees in a professional and courteous manner.
    • Answer, screen, and direct incoming phone calls and emails to the appropriate personnel.
    • Maintain visitor logs, issue visitor badges, and ensure adherence to office security procedures.
    • Coordinate conference room scheduling and visitor accommodations.
    • Manage incoming and outgoing mail, packages, and deliveries.
  • Administrative Support
    • Provide administrative support to leadership and various departments as needed.
    • Prepare, format, and distribute correspondence, reports, presentations, and other business documents.
    • Maintain electronic and physical filing systems to ensure accurate recordkeeping.
    • Assist with data entry, document management, and report generation.
    • Schedule meetings, appointments, and company events.
  • Office Operations
    • Monitor and maintain office supplies inventory; coordinate ordering and restocking as needed.
    • Serve as the initial point of contact for vendors, service providers, and facility-related requests.
    • Coordinate office maintenance and ensure common areas remain organized and presentable.
    • Support onboarding needs for new employees, including workspace preparation and administrative documentation.
    • Assist with travel arrangements and expense reporting when required.
  • Customer Service & Communication
    • Respond to routine inquiries and direct requests to the appropriate team members with a sense of urgency and proactivity.
    • Maintain a positive and professional image of the organization through all interactions.
    • Communicate effectively with internal and external stakeholders to support business operations.
    • Handle sensitive information with discretion and confidentiality.

Requirements

  • High school diploma or equivalent required.
  • 2+ years of administrative, receptionist, or office support experience required.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with office equipment including multi-line phone systems, printers, and scanners.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and manage competing deadlines.
  • Professional demeanor and customer-focused approach.

Preferred Skills

  • Experience with office management systems and computer-based applications.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Pay

$23/hour

Schedule

Monday–Friday, 8:00 AM to 5:00 PM
