About the Role

The Adjunct Enrollment Records Coordinator will be based out of a home office located anywhere within the contiguous United States (Pacific, Mountain, Central, and Eastern time zones) or United States territories. This position supports the smooth enrollment of Aspiring Teachers Accelerator students by tracking and managing required documentation across New Leaders and partner institution systems. This role is detail-oriented and relationship-driven to ensure students have what they need, when they need it, and that no requirement falls through the cracks. The Adjunct Enrollment Records Coordinator will serve as a temporary staff member at New Leaders, as needed, through June 30, 2027, with the possibility of extension. This is a part-time role, expected to work up to 18 hours weekly, and reports to the Senior Executive Director, Strategy, Project Management, and Operations.

Responsibilities

  • Documentation Tracking & Verification
    • Monitor the receipt and status of required enrollment materials in partner institution(s) of higher education (IHE) systems, including but not limited to: Social Security numbers, official transcripts, immunization forms, FAFSA, TAP applications, Clasp loan applications, and other financial aid submissions.
    • Track when official credits are posted to student records and flag discrepancies.
    • Maintain accurate, up-to-date records in New Leaders systems (e.g., Salesforce, HubSpot) so admissions counselors and program mentors have real-time information when advising students.
  • Student Communication & Support
    • Create and manage proactive outreach to students regarding outstanding requirements, account holds (e.g., missing forms, account balances), and upcoming deadlines, including drafting communication for team members to send and building workflows to support timely follow-up.
    • Draft clear, warm, accessible communications that reflect the Accelerator's commitment to removing barriers for aspiring teachers.
    • Follow up consistently to ensure students complete steps needed to register and begin coursework.
  • Partner Collaboration
    • Serve as a key liaison with contacts at partner IHEs, communicating student record status and coordinating next steps (e.g., notifying IHE when all official transcripts have been received and a registration hold can be released).
    • Escalate issues and surface patterns that may indicate process gaps or student support needs.

Requirements

  • Mission Alignment: Passionate belief in academic excellence for every student, aligned with New Leaders' mission.
  • Educational Background: Bachelor’s degree required.
  • Professional Experience: Minimum of 3-4 years of professional experience required. Experience in higher education admissions, enrollment, or student services is required.
  • General Qualifications:
    • Exceptional attention to detail and organizational skills; ability to manage multiple moving pieces simultaneously.
    • Strong written communication skills; able to write clearly and warmly for a student audience.
    • Self-directed, reliable, and comfortable working across teams and institutions.
    • Familiarity with financial aid processes (FAFSA, TAP, institutional loan programs) is a plus.
    • Proficiency in customer relationship management (CRM) or student information systems (SIS); HubSpot and Salesforce experience a strong plus.
  • Time Commitment:
    • Available for up to 18 hours per week.
    • Commit to and be available to complete the full scope of any assignment, except for authorized modifications.

  • Additional Requirements:
    • Employee(s) selected for this role must have a computer meeting the following requirements to ensure security and compatibility:
      • Operating System Version: The device must run an operating system that is fully updated to the latest version available for its platform.
      • Web Browser: Google Chrome must be installed and used as the primary web browser for accessing tools and platforms.
      • Device Encryption: Device encryption must be enabled.
      • Firewall and Security Software: Up-to-date antivirus, anti-malware, and firewall suite must be installed and active on the device.
      • Password Policy: The device must be protected with a strong password or passcode pursuant to instructions provided by New Leaders.
      • Internet Speed: The device must have access to adequate internet speed for work needs, with a recommended minimum internet download speed of 50 Mbps and upload speed of 10 Mbps.
      • Web Camera and Microphone: The device must be equipped with a web camera and a microphone for video conferencing and communications.

Pay

Hourly Rate: $34.15 - $35.58

Schedule

This is a part-time role, expected to work up to 18 hours weekly.
