Activities Director
About the Role
The Activities Director is a full-time position responsible for providing an exceptional level of social activity for community residents through professional planning, organizing, and scheduling. This role requires skilled communication via newsletters, flyers, websites, and meetings to encourage maximum resident participation. This position serves as a key liaison between clients, KW Property Management, and internal support staff, requiring a professional and competent image. The Activities Director plays a large role in creating and programming both recreational and therapeutic activities, ensuring compliance with federal or state regulations and resident safety.
Responsibilities
- Plan, organize, schedule, coordinate, and implement all activities, programs, and special events with integrity.
- Plan events, including acquiring entertainment, caterers, decorations, or other requirements for successful execution.
- Recruit, hire, schedule, and evaluate qualified instructors for social, educational, and fitness classes (e.g., aerobics, yoga, foreign language, art).
- Verify and obtain license and insurance documentation for instructors when appropriate.
- Communicate with volunteer chairpersons of various activities, clubs, and special interest groups (e.g., Mah Jongg, Bridge, Art, Photography).
- Coordinate tours and trips.
- Process payments for services (instructors, entertainment, caterers) in a timely manner.
- Build resident involvement in all activities and special events.
- Coordinate special considerations for meeting rooms (e.g., setup, microphones, projection screens).
- Maintain a reservation calendar for facility areas and registration lists for activities.
- Design and publish a monthly newsletter.
- Evaluate and critique activities monthly.
- Supervise activities and special events according to their scheduled day and time (flexible work schedule required).
- Take photographs of classes, activities, and events for promotional use on the website and in-house television station.
- Solicit resident input for desired activities and incorporate feasible suggestions into the schedule.
- Collaborate with the Community General Manager to prepare and adhere to a budget.
- Maintain accurate accountability of all activity funds.
- Be available to residents to answer questions, consider new ideas, and respond to social activity needs.
- Develop and propose solutions to problems and anticipate resident needs.
- Network with local organizations to promote the community.
- Communicate effectively both orally and in writing.
- Represent the community with professionalism.
- Provide activities information for the website and maintain the in-house television station.
- Set up for events independently, including arranging tables, chairs, and equipment.
Requirements
- Minimum of 2 years of experience in a social or recreational program.
- Effective written, verbal, and non-verbal communication skills.
- Creative, caring, and able to work under stress.
- Ability to plan, implement, and evaluate an ongoing activity program.
- Ability to order and maintain supplies necessary to support the activity program.
- Ability to work within a budget.
- Manual dexterity, auditory and visual skills, and the ability to follow written and oral instructions.
- Occasional physical demands, including sitting, standing, reaching, lifting, bending, kneeling, stooping, climbing, pushing, and pulling items weighing up to 30 pounds.
- Flexibility to work alone and set up event equipment independently.
Schedule
This is a full-time exempt position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m. The schedule may change to accommodate the business needs of the property. Travel may be required for purchasing or renting event equipment.
