Job Summary
We are seeking an Event Coordinator for an Active Adult community. The ideal candidate will plan and manage various events, engage residents, and promote the community's values.
Essential Responsibilities
- Execute creative planning, promotion, and implementation of recreation activities.
- Ensure timely delivery of birthday cards to all residents.
- Provide excellent customer service and communication to residents, family members, and visitors.
- Manage events and address potential problems.
- Monitor clubhouse usage and coordinate the rental schedule.
- Track event/program enrollment and distribute a quarterly survey.
- Plan, host, and attend events, including those included in monthly newsletters.
- Work with the community to innovate and plan new ideas.
- Perform special projects as assigned by the Property Manager.
- Work a flexible schedule including split shifts, evenings, weekends, and holidays.
- Establish and maintain relationships with vendors and venues.
- Provide feedback to the Property Manager on budgeting-related items.
- Create detailed recaps of events through social media postings.
- Prepare and distribute monthly activity schedules and newsletters.
Other Responsibilities
- Assist with leasing and marketing activities as needed.
- Conduct community tours, process applications, and conduct credit screenings.
- Inspect apartments and schedule maintenance tasks.
- Design and execute marketing activities to drive traffic to the community.
- Use on-site property management software to track activities and manage resident data.
- Ensure show units meet company standards and communicate maintenance needs to the maintenance team.
- Follow up with prospects and new residents to ensure satisfaction.
- Prepare lease renewal letters and packages, and meet with renewing residents.
- Respond to resident and client inquiries and take prompt action to solve problems.
Requirements and Skills
- Proven experience as Event Coordinator or Activities Director.
- A proven track record of organizing successful events.
- Proficient in MS Office.
- Outstanding vendor management skills.
- Excellent communication and negotiation abilities.
- Well-organized with multi-tasking skills.
- Able to handle stress and remain calm.
- Problem-solving ability.
- Degree in hospitality management or public relations with a focus on event management.
Working Conditions
Incumbents work in an office environment but may have frequent exposure to outside elements, such as temperature, weather, odors, and hazardous landscapes.
