Accounts Supervisor
What you’ll be doing:
- Regular scanning and coding for all invoices and expenses prior to entry in Open Accounts (OA).
- Oversee and administer the full U.S. corporate card program, including the issuance and cancellation of American Express corporate cards for new hires and terminated employees.
- Configure, maintain, and support employee expense management processes to ensure accurate and compliant expense reporting.
- Manage corporate card spend – submissions and inquiries.
- Manage payments by check or ACH for all US payables.
- Maintain vendor files / profiles, including W9, discrepancies and notices received.
- Complete periodic housekeeping of vendor accounts in OA.
- Manage vendor relations, resolve payment discrepancies, issue statements etc.
- Manage and maintain 1099 administration including yearly filings.
- Reconcile deposits for all bank accounts; ensure relevant paperwork is scanned, sent to UK credit control / UK accounting.
- Reconciliation and issuance of expense reimbursements and payroll deductions
- Process biweekly payroll using TRINET software; liaise with HR dept. on system admin.
- Liaison with UK finance on commission and bonus payments.
- Monitor all US bank accounts.
- Manage Merchant Accounts with regards to chargebacks, and provide assistance on maintenance and new account set ups.
- Generate reports for Sales Tax payments for all stores and ecommerce using internal reporting and Avalara (or similar) systems.
- Monitor Nexus for all US states and Canadian regions – assist with Avalara sales tax filings, including integration with retail POS.
- Monitor payroll taxes; work with payroll provider to ensure compliance.
- Work closely with SVP, UK finance team and US Accountants on any US related taxation issues, notifications, audits, compliance etc.
- Manage retail store cash collections with Brinks (or similar), train staff on deposit procedures, set up new accounts.
- Any other duties, not specified above, as outlined by your line manager.
- Administer payroll calculations and processing of biannual employee clothing allowance
- Manage the allocation, setup, and distribution of mobile devices for U.S. staff.
- Support event / pop up related payment provision outside of main POS system where applicable
- Any other duties as requested by line manager.
