Full-time, non-exempt position reporting to the Accounting Manager within the Accounting department.
About the Role
The Accounts Receivable Specialist manages incoming payments, ensures accurate and timely processing of invoices, and maintains financial records related to accounts receivable.
Responsibilities
- Generate and send out invoices to customers.
- Carry out billing, collection, and reporting activities according to specific deadlines, including special processing procedures for university customers (e.g., vouchers, summer groups, and Inter Departmental Invoices).
- Weekly compilation of gratuities for payroll processing.
- Follow up on, collect, and allocate payments.
- Monitor customer account details for non-payments, delayed payments, and other irregularities.
- Research and resolve payment discrepancies.
- Generate and distribute monthly customer statements.
- Maintain accounts receivable customer files and records.
- Prepare monthly, quarterly, and annual reports on receivables.
- Handle special projects as requested by management.
Requirements
- Associate’s degree in Accounting, Business, or related field preferred.
- Proven working experience as an Accounts Receivable Specialist or similar role.
- General Ledger experience preferred.
- Proficiency in MS Office and accounting software (e.g., Sage Intacct preferred).
- High degree of accuracy and attention to detail.
- Excellent communication, organizational, customer service, and interpersonal skills.
- Ability to work independently and as part of a team.
- Excellent mathematical and analytical skills.
Work Environment
This position operates in a professional office environment and routinely uses standard office equipment such as computers, photocopiers, phones, filing cabinets, and fax machines.
Physical and Mental Demands
- Occasionally required to sit; climb or balance; and stoop, kneel, crouch, or crawl.
- Must frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 25 lbs.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Regularly required to talk and hear.
- Requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.
Pay
Hourly non-exempt role with a compensation range of $19/hr to $24/hr. Eligible for yearly performance-based increases.
Schedule
Typical schedule is Monday - Friday, 8:00 AM – 4:30 PM, with occasional Saturday work required during month-end and year-end financial closings.
