Accounts Receivable Specialist
About the Role
Allied Stone is seeking an Accounts Receivable Specialist to manage customer accounts and ensure timely, accurate collection of payments for products and services. This role supports the company’s financial health by processing invoices, monitoring account balances, resolving billing discrepancies, and maintaining positive customer relationships. The specialist collaborates with sales, project management, customer service, and accounting teams to ensure accurate billing, timely collections, and compliance with customer contractual requirements. Experience with construction, manufacturing, progress billing, or customer-specific invoicing is preferred.
Responsibilities
- Prepare, verify, and process standard and non-standard AIA invoices and code billing documents for assigned customers.
- Obtain and verify necessary documentation for invoicing.
- Communicate with customers and subcontractors regarding account information and assignments.
- Follow up on past-due invoices to ensure prompt payments and resolve account issues as needed.
- Set up new project folders and add them to trackers.
- Collect and process subcontractor (installers) invoices for payment, enter tracking information into Excel, and submit final payment details for approval.
- Maintain accurate records within established systems for assigned accounts.
- Process documentation and prepare reports to support account and customer requirements.
- Meet established performance goals and deadlines in compliance with company and customer service level agreements.
- Adhere to company policies and procedures.
Requirements
- High school diploma required; some college preferred.
- Minimum of 3 years of accounts receivable experience, with construction billing preferred.
- Experience with construction 3rd-party ERP platforms (e.g., GC Pay, Procore, Textura) is a plus.
- Proficiency in preparing payment information for accounts payable.
- Experience with NetSuite or other major accounting software is helpful.
- Strong Excel skills and proficiency in Microsoft Office Suite.
- Fluency in English; Spanish is helpful.
- Results-driven, patient, detail-oriented, and trustworthy.
- Ability to meet monthly deadlines with minimal oversight.

Schedule
Monday through Friday, with core hours between 7:30 AM – 4:00 PM or 8:00 AM – 5:00 PM. Authorized overtime only.

General office setting with extended computer use and collaboration across multiple teams.
