Invoicing & Billing
- Prepare, review, and issue customer invoices in accordance with contract terms, purchase orders, and project milestones.
- Manage milestone billing for long-term manufacturing projects, ensuring all required documentation (delivery reports, project approvals, shipping confirmations) is complete prior to billing.
- Verify pricing, quantities, freight terms, and tax requirements for all invoices.
- Maintain organized invoicing schedules and proactively follow up with project managers to ensure timely billing events.
Financial Reporting & Compliance
- Maintain accurate records and support periodic audits.
- Support internal reporting requirements, including revenue forecasts and cash-flow projections.
- Ensure compliance with company policies, GAAP, and internal controls related to AR processes.
- Ensure state sales tax returns are filed in compliance with tax regulations.
Cross-Functional Collaboration
- Work closely with project managers, sales, operations, and customer service teams to ensure accurate invoicing and resolution of issues.
- Work with credit/collections personnel to verify status of delinquent accounts.
Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
- Minimum of 5 years of accounts receivable experience, preferably in a manufacturing or project-based environment.
- Experience with milestone billing or percentage-of-completion billing.
- Experience with ERP/accounting systems (e.g., SAP, Oracle).
Qualifications
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Ability to manage multiple tasks and prioritize effectively.
Skills
- Proficient in accounting software and ERP systems.
