About the role

Our client is a privately held facilities services company that provides building maintenance, cleaning, and property support services to commercial, residential, corporate, and institutional clients across the New York metropolitan area. The organization has a large workforce, a strong reputation in its industry, and a professional corporate office environment.

Responsibilities

  • Review, code, and process incoming invoices accurately and on time
  • Verify invoices against work orders, receipts, approvals, and supporting documentation
  • Confirm accuracy of pricing, payment terms, vendor information, and payment schedules
  • Prepare and process payments, including checks, electronic payments, and ACH transfers
  • Maintain vendor payment terms and help ensure timely, accurate payments
  • Monitor and reconcile vendor statements, researching and resolving discrepancies as needed
  • Respond to vendor inquiries related to invoices, payments, account balances, or discrepancies
  • Maintain organized and accurate accounts payable records and reports
  • Support month-end close activities, including account reconciliations
  • Partner with the accounting team to ensure accurate coding and financial reporting
  • Provide documentation and support for internal and external audits
  • Help identify opportunities to improve accounts payable processes and procedures

Requirements

  • Bilingual English/Spanish required
  • Bachelor’s degree in Accounting, Finance, or a related field required
  • 1–3 years of experience in accounts payable, billing, accounts receivable, finance, or a related accounting function
  • Experience with NetSuite or a similar ERP system preferred
  • Experience with Microsoft Office Suite required
  • Familiarity with AP portals such as Tipalti, Coupa, or similar systems preferred
  • Strong attention to detail and a high level of accuracy
  • Strong analytical skills with the ability to identify discrepancies and resolve issues
  • Professional communication skills and the ability to work with vendors, internal teams, and management
  • Strong client service and vendor relations skills
  • Highly organized, dependable, and able to manage deadlines in a fast-paced environment
  • Self-starter with urgency, follow-through, and sound judgment
