Job Summary

The A/P Accountant is responsible for the integrity, accuracy, and timeliness of all Accounts Payable transactions. This role supports the finance department in managing organizational expenses and ensuring compliance with organizational policies.

Responsibilities

  • Covers organizational accounts payable functions.
  • Reviews and processes vendor invoices, requests for disbursement, and employee statement of expenses for accuracy, general ledger coding, proper documentation, and levels of approval.
  • Maintains vendor accounts in the accounting system and ensures all necessary information is accurate.
  • Reconciles vendor statements and identifies, researches, and resolves vendor account discrepancies.
  • Assists managers in understanding paperwork requirements for employee reimbursements, credit card payments, and managing invoices for other program expenses.
  • Researches and prepares any adjusting entries necessary to correct operating expense accounts.
  • Coordinates with Fiscal intermediary staff to determine payment calendar and process checks to ensure provider payments are accurate and timely.
  • Prepares monthly Accounts Payable closing reports.
  • Assists Senior Accounting Administrator in preparing annual IRS Misc-1099 reporting.
  • Other related duties as assigned.

Qualifications

  • Requires BS or AA with emphasis in Finance or Accounting.
  • Minimum of 5 years of experience in working in accounts payable.
  • Experience and knowledge of accounting principles for government-funded non-profit organizations is a plus. Knowledge of fund accounting is required.
  • Knowledge of medium- to large-scale computerized accounting system, preferably Sage MIP.
  • Ability to manage multiple priorities and meet multiple deadlines under minimal supervision.
  • Advanced knowledge of Microsoft Excel, including lookup functions and pivot tables.
  • Excellent communications skills, both written and oral. Ability to communicate clearly with co-workers, department managers, and outside funders.

  • A background clearance is required.
  • 100% Onsite.

Physical Requirements

Dexterity to use office equipment; the ability to sit and work at a desk for extended periods of time. Ability to hear and understand speech at normal room levels. Mental acuity to perform the essential functions of this position in an accurate and timely fashion.
