Payroll Processing
- Collect, verify, and process bi-weekly/semi-monthly payroll for all entities; enter hours, salaries, adjustments, PTO, and deductions with precision.
- Process new hire setup, terminations, pay rate changes, garnishments, and direct deposit updates in the payroll system.
- Prepare and submit federal and Florida payroll tax deposits and filings (Form 941, FUTA, SUTA); reconcile tax accounts monthly.
- Manage W-2 preparation and distribution; assist with year-end payroll close in coordination with the SSA and external CPA.
- Reconcile payroll registers to general ledger each pay period; prepare payroll summary and labor distribution reports.
- Respond to employee payroll inquiries accurately and within established timeframes.
- Assist with month-end close payroll accruals and other duties as assigned by the SSA.
New Hire & Change Management

Year-End Payroll

Payroll Reconciliation
- Reconcile payroll registers to general ledger each pay period; prepare payroll summary and labor distribution reports.
Employee Support
- Respond to employee payroll inquiries accurately and within established timeframes.
Other Duties
- Assist with month-end close payroll accruals and other duties as assigned by the SSA.
Qualifications
Payroll processing experience — 2–3 years hands-on; multi-entity or healthcare preferred
Payroll system proficiency — ADP, PayCor, Paychex, QuickBooks Payroll, Gusto, or equivalent
Payroll tax knowledge — federal and Florida requirements, 941, FUTA, SUTA, W-2
Microsoft Excel — intermediate; payroll reconciliation and reporting
Strict confidentiality — payroll is highly sensitive; unwavering professionalism required
Accuracy and self-review discipline — payroll errors have direct employee impact; none are acceptable
FPC or CPP certification — a plus; not required
Education
Associate’s Degree (Required); Bachelor’s Degree — Preferred.
