Position Summary

The Accounting Specialist is responsible for the accurate and timely processing of payroll and accounts payable, along with a variety of general accounting functions. This position maintains payroll and time-and-attendance systems, processes vendor invoices and payments, assists with month-end and year-end activities, supports tax and regulatory reporting, and helps troubleshoot accounting and payroll-related system issues. The Accounting Specialist also serves as an important resource to employees, managers, and vendors regarding payroll, accounts payable, and timekeeping processes.

Key Responsibilities

  • Process biweekly payroll, including reviewing timekeeping information, processing special/manual checks as needed, maintaining payroll records, and ensuring payroll accuracy and completeness.
  • Manage accounts payable processing, including invoices, coding, purchase orders, vendor records, checks/EFT payments, voids, stop payments, and related reporting.
  • Respond to employee, manager, and vendor questions and resolve payroll, timekeeping, accounts payable, and payment-related issues.
  • Maintain and support payroll, accounts payable, and automated time-and-attendance systems and assist with troubleshooting system-related issues.
  • Prepare bank deposits, payroll tax deposits, wage garnishments, retirement contribution remittances, and other routine accounting transactions.
  • Support W-2 and 1099 processing, payroll tax reporting, and other year-end requirements.
  • Assist with month-end and year-end closing activities, including accruals, expense reclassifications, invoicing, and general ledger account reconciliations.
  • Assist with annual audits, Medicare/Medicaid cost reports, contract tracking, and other accounting projects and reporting needs.
  • Provide training and guidance to managers and employees regarding payroll and time-and-attendance processes.

Qualifications / Experience

  • High school diploma or equivalent required.
  • Two-year accounting degree or equivalent experience in a payroll and/or accounts payable environment required.
  • Previous accounting experience in a healthcare or hospital setting strongly preferred.
  • Working knowledge of Microsoft Office applications, including Excel and Word.
  • Experience working with automated payroll, accounting, and/or time-and-attendance systems preferred.
  • Strong attention to detail with the ability to perform accurate calculations and meet established deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to communicate professionally and effectively with employees, leadership, vendors, and other stakeholders.
  • Ability to handle sensitive financial and employee information with a high degree of confidentiality.
