Accounting Specialist

Responsibilities

• Accounts Payable:
• Review invoices for appropriate documentation and approval.
• Facilitate vendor payments through check processing, ACH, and portal payments.
• Enter, reconcile, and process credit card bills, receipts, and payments.
• Reconcile vendor statements for accuracy.
• Enter new vendors into the system and maintain vendor files, including W-9s and certificates of insurance.
• Process annual 1099 forms for vendors.
• General Accounting:
• Deposit daily checks and reconcile incoming banking transactions.
• Support the Staff Accountant in collection efforts.
• Facilitate monthly recurring HVAC maintenance contract invoices.
• Process quoted billings upon job completion.
• Aid in month-end and year-end closing processes and audits.
• Ensure compliance with company procedures and general accounting principles.
• Administrative Support:
• Assist with incoming calls.
• Support operations by obtaining permits, submitting rebates, and renewing city licenses.
• Collaborate with other departments to resolve issues and improve processes.

Qualifications

• 2+ years of accounts payable, accounting support, or bookkeeping experience preferred.
• Previous experience in accounts payable or related financial roles.
• Knowledge and experience working in the HVAC industry a plus!
• Experience with Sage Intacct, Sage 100 Contractor, Viewpoint, Foundation, BuildOps, or similar accounting/ERP systems preferred.
• Strong verbal and written communication skills with the ability to interact professionally with vendors, customers, and internal team members.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Pay

$55,000–$68,000 annually, depending on experience and software proficiency.

Schedule

This is a local, on-site role serving the Twin Cities Metro area. Candidates must reside within commuting distance of Minneapolis/St. Paul.
