Essential Functions and Responsibilities

  • Administer, facilitate and organize an Accounting helpdesk
  • Organize daily mail
  • Post specific vendor invoices to CODA
  • Scan and approve utility invoices in Avid and match with payments in CODA
  • Reconcile Caterpillar parts statement monthly
  • Post Caterpillar parts invoices/credits from Intray
  • Organize financial records, file, and perform data entry
  • Maintain vendor W9 information
  • Absorb various tasks and projects as assigned
  • Scan customer tax exemption forms
  • Assist Accounting Manager, Accountants, and Insurance/Bid Analyst with various tasks and projects
  • Manage employee tool loans
  • Perform daily cash deposits
  • Minimum Skills and Qualifications

    • High School Graduate required
    • Associates’ Degree in Accounting a plus
    • 2-3 years of accounting experience is preferred
    • Strong understanding of accounting principles
    • Experience with CODA
    • Organization skills and time management skills are a must
    • Must be detail-oriented, time-conscious, focused, and able to multi-task
    • Attention to detail specific to general ledger account codes, store numbers, and divisions is necessary for accurate reporting
    • Ability to manage confidential information with discretion
    • Integrity and commitment to customer satisfaction is a must
    • An intermediate knowledge of Microsoft Outlook, Excel, and Word is necessary
    • A general understanding of accounting software specific to accounting will be helpful

    Physical Requirements

    • Primary functions require sufficient physical ability and mobility to work in an office setting
    • To stand or sit for prolonged periods of time
    • To occasionally stoop, bend, kneel, crouch, reach, and twist
    • To lift, carry, push, and/or pull light to moderate amounts of weight
    • To operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard
    • To verbally communicate to exchange information
    • The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible
