About the role
Under the general direction of the Accounting Supervisor and with minimal supervision, this position processes employee travel and other expense claims for the Department of Child Safety Reimbursement Desk.
Responsibilities
- Reviews reimbursement claims for accuracy, completeness, and compliance with agency travel and reimbursement policies.
- Verifies receipts, documentation, and allowable expenses. Includes communicating with staff and providing customer support regarding missing documentation, corrections, policy clarification, and claim status updates.
- Ensures claims follow state policies (State of Arizona Accounting Manual (SAAM), GAO Travel Guidelines and DCS policies, and internal procedures.
- Identifies discrepancies, policy violations, or missing documentation.
- Maintains and monitors shared Outlook inbox. Tracks incoming requests, organizes emails, documents actions taken, ensures timely responses, and maintains audit-ready email records.
- Enters claim information into financial systems, updates logs, tracks reimbursement status, and maintains accurate records.
- Assists with process improvements, trains support of employee claims; updates guidance materials, internal documents, and Travel SharePoint site.
- Other duties as assigned as related to the position.
Requirements
- High school diploma or GED.
- Must obtain and maintain clearance of the DCS Central Registry.
- If driving or use of a vehicle is required as an essential function, must meet Driver’s License Requirements.
- All newly hired State employees must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
Qualifications
- Two plus years working experience in Accounting, Payroll, or Finance (selective preference).
- Knowledge of accounting principles, techniques, and practices.
- Knowledge of methods and techniques in tracking data as it relates to the area of assignment.
- Knowledge of State of Arizona travel and reimbursement policies.
- Proficiency in Microsoft Office tools such as Word, Excel, and Outlook.

Pay
$22.2117 hourly / $46,200.34 annually.
Positions in this classification participate in the Arizona State Retirement System (ASRS). Enrollment eligibility becomes effective after 27 weeks of employment.
