About the role

The Accounting Manager oversees the day-to-day accounting functions, ensuring the accuracy and timeliness of financial reporting, compliance with regulatory requirements, and efficient financial operations. This role includes managing accounts payable, accounts receivable, grants accounting, and supporting the annual budget preparation and audit processes. The Accounting Manager collaborates with program directors and other staff to maintain financial health and integrity, supporting the organization’s mission to end homelessness.

Responsibilities

  • Manage day-to-day functions including accounts payable (AP), accounts receivable (AR), cash receipts, and general ledger (GL) maintenance.

  • Oversee monthly close processes, including GL reconciliation for AR, AP, and prepaid expenses.

  • Conduct monthly bank reconciliations and journal entries.

  • Lead the agency’s expense budget preparation in collaboration with program directors.

  • Provide spending oversight in collaboration with program directors and managers.

  • Work with the Chief Financial Officer to produce quarterly forecasts.

  • Review monthly vouchers for grants and contracts.

  • Post journal entries to ensure correct allocation of grant revenues.

  • Monitor grant expenditures and maintain proper documentation.

  • Collaborate on government grant management, program budgets, and financial reports.

  • Ensure compliance with local, federal, and state regulations.

  • Prepare year-end SEFA and state reports.

  • Manage funder audits and maintain communication with program directors regarding grants.

  • Review biweekly payroll timesheets to maximize staff grant allocation and ensure proper matching activity.

  • Assist with the preparation of the annual agency budget, monthly close, quarterly forecasts, and the annual agency audit.

  • Produce first drafts of monthly financial statements.

  • Calculate variances from the budget and report significant issues to the Chief Financial Officer.

  • Assist in regular forecasts in collaboration with the Senior Grants Accountant and program directors.

  • Coordinate and act as liaison for the annual agency audit, ensuring proper collection of documents throughout the year.

  • Manage funder audits for grants in collaboration with the Senior Grants Accountant.

  • Supervise Grants Accountant, Finance Coordinator, AP Specialist, and Accounting Assistant.

  • Ensure accounts payable are processed and paid in a timely manner.

  • Ensure accounts receivable are collected promptly, recommending adjustments for uncollectible accounts.

  • Oversee the entire month-end close process and provide general oversight of all accounting functions.

  • Guide financial decisions by enforcing policies and procedures, recommending new policies as necessary.

  • Protect assets by enforcing internal controls, recommending new policies as necessary.

  • Maintain compliance with debt covenants.

  • Ensure compliance with local, state (GATA), and federal government reporting requirements and tax filings.

  • Stay abreast of all regulatory compliance and related requirements.

Qualifications

  • Degree from an accredited college or university in Accounting, Finance, Business, or a related field, or equivalent combination of education, training, and experience.

  • Minimum of 3 years of experience in grant/fund accounting and general accounting compliance.

  • Minimum of 3 years of experience managing a finance team.

  • Knowledge of budget preparation, financial record-keeping, and reporting.

  • Knowledge of general accounting principles, including federal, state, and other grant reporting requirements.

  • Ability to compile and analyze data and prepare summary status reports.

  • Strong analytical and problem-solving skills.

  • Excellent communication skills (both written and verbal).

  • Strong financial management skills.

  • Ability to multi-task and prioritize appropriately.

  • Ability to work collaboratively with a wide variety of people, providers, and agencies.

  • Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Teams.

  • Proficiency with fund accounting software, preferably Blackbaud Financial Edge.

  • Highly desirable: Bilingual (English/Spanish) skills.
