About the role
Lead and manage core accounting operations across Payroll, Accounts Payable, and Month-End Close. Oversee end-to-end administration of multi-state payroll, accounts payable processing, financial reporting support, and compliance activities. Serve as a subject matter expert in ADP Workforce Now, ADP SmartCompliance, and Deltek Costpoint, providing leadership, process improvement, and operational continuity across the accounting function.
Responsibilities
- Payroll Administration
- Manage and process bi-weekly multi-state payroll through ADP Workforce Now, ensuring accuracy and compliance.
- Process off-cycle payrolls, wage adjustments, and final pay in accordance with federal, state, and local regulations.
- Maintain employer state withholding and unemployment tax accounts across 30+ states.
- Administer wage garnishments, including setup, maintenance, and compliance.
- Review weekly employee timesheets and ensure correct processing of new hire, termination, and LWOP adjustments.
- Process weekly PTO/leave accruals and timesheet corrections within Deltek Costpoint.
- Research and resolve payroll discrepancies and respond to employee payroll inquiries.
- Maintain expertise in multi-state payroll compliance and evolving payroll tax regulations.
- Accounts Payable Administration
- Oversee processing of employee expense reports, vendor invoices, and purchase order vouchers within Costpoint.
- Ensure timely and accurate vendor payments and maintain complete AP documentation.
- Administer the corporate American Express card program, including coding, reconciliation, documentation review, and posting of expenses.
- Support audit requirements through accurate recordkeeping and compliance with internal controls.
- Accounting & Month-End Close
- Lead month-end and year-end close activities, ensuring timely completion of all deliverables.
- Prepare and post payroll-related journal entries, accruals, and reconciliations.
- Calculate and record direct, subcontractor, and indirect expense accruals.
- Analyze budget vs. actual results and investigate variances.
- Collaborate with Accounting and Finance teams to support financial reporting and backlog maintenance.
- Process Improvement & Documentation
- Update and maintain payroll and AP policies, procedures, and internal documentation.
- Identify opportunities to enhance operational efficiency, internal controls, and compliance.
- Create and maintain employee “how-to” guides for timesheet and expense reporting processes in Costpoint.
- Leadership & Team Support
- Supervise, train, and mentor a two-person Accounts Payable team.
- Provide day-to-day oversight, workload prioritization, and performance support.
- Serve as backup for all Payroll and AP functions to ensure continuity of operations.
- Partner with internal stakeholders—including Contracts, Project Management, and external payment offices such as DFAS—to resolve billing or payment matters when needed.
- Compliance & Specialized Knowledge
- Maintain working knowledge of GAAP, CAS, FAR, and federal contractor accounting requirements.
- Support DCAA and external audits through accurate documentation and timely responses.
- Possess working knowledge of equity compensation programs, including:
- Restricted Stock Units (RSUs)
- Payroll tax withholding for equity transactions
- Tax implications of employee stock purchases and sales
- Coordination of equity-related payroll reporting
Requirements
- Bachelor's degree in accounting or finance required; advanced credentials (CPA, CMA) preferred.
- 7+ years of progressive accounting experience, including federal government contracting.
- Experience managing payroll and accounts payable operations.
- Strong proficiency in ADP Workforce Now, ADP SmartCompliance, and Deltek Costpoint.
- Demonstrated knowledge of multi-state payroll compliance and federal contracting requirements (WAWF familiarity preferred).
- Strong Microsoft Excel skills and experience with accounting/reporting tools.
- Ability to support DCAA and external audits.
- Excellent communication, leadership, and analytical skills.
- Must have the ability to communicate accurate information.

Pay
Salary range: $90,000–$125,000
