Accounting Clerk

About the role

PACE Supply is seeking a detail-oriented and organized AR Billing and Freight Clerk to join our team. This role supports accounts receivable, billing, freight and logistics accounting, inventory processing, and general accounting operations.

Responsibilities

• Supports accounts receivable, billing, and freight accounting processes.
• Ensures accuracy of charges and supporting documentation for customer orders.
• Processes customer payments and maintains accurate account records.
• Reviews and reconciles discrepancies between purchase orders, sales orders, and invoices.
• Responds to internal and external inquiries regarding invoices, account balances, and billing issues.
• Assists with collections activities and account reconciliation as needed.
• Processes freight invoices and ensures proper coding, documentation, and approval.
• Verifies freight charges against vendor invoices, contracts, and shipping documentation.
• Obtains required approvals before invoice processing.
• Maintains freight-related records, logs, and tracking spreadsheets.
• Researches and resolves freight discrepancies with carriers, vendors, and internal stakeholders.
• Supports inventory-related activities, including receiving and recording inventory transactions, verifying product lines, and assisting in resolving outstanding issues.
• Processes internal company purchase orders as required.
• Maintains accurate accounting records and supporting documentation.
• Ensures compliance with company policies, procedures, and internal controls.
• Supports audits and financial reporting requests by providing documentation and transaction details.
• Affords assistance with special projects and process improvement initiatives as assigned.

Requirements

• Strong attention to detail and excellent organizational skills.
• Experience in accounts receivable, billing, and/or freight accounting.
• Proficiency with ERP systems and Microsoft Excel.
• Effective communication skills, both written and verbal.
• Problem-solving abilities and the capacity to handle a variety of situations with limited standardization.
• Comfortable operating a computer, 10-key, and standard office equipment.
• Ability to interpret and adhere to company rules, policies, and procedures.
• Team player with the ability to collaborate effectively with others to achieve goals.

Qualifications

• Minimum 2 years of solid Accounts Payable (AP) experience and 2 years of Accounts Receivable (AR) / Billing experience.
• Highly organized, accurate, and detail-oriented with strong attention to accuracy.
• Strong mathematical skills, including the ability to calculate discounts, percentages, proportions, and perform basic algebra.
• Proficient in reading and interpreting documents such as procedures, policies, and instructions.
• Excellent written and verbal communication skills, with the ability to write routine reports and correspondence and speak effectively with customers and internal teams.
• Comfortable operating a computer, 10-key, and standard office equipment.
• Ability to interpret and adhere to company rules, policies, and procedures.
• Team player with the ability to collaborate effectively with others to achieve goals.

Skills

• Experience with ERP/MIS systems.
• Familiarity with freight and logistics accounting.
