About The Role
The Accounting & Administration Manager is a vital leadership position responsible for overseeing the daily accounting and administrative operations at Reinert Hay & Commodities located in Hereford, TX. This role involves supervising administrative staff, ensuring the smooth execution of transactional accounting processes, and providing comprehensive administrative support to site management and staff. The manager collaborates closely with the General Manager, site supervisors, and corporate support functions to develop and maintain efficient workflows, uphold internal controls, and ensure compliance with corporate policies. The role emphasizes proactive problem-solving, process improvement, and effective communication to support the company's operational and financial integrity. While the position does not encompass corporate financial reporting or policy development, it plays a crucial role in maintaining the accuracy, efficiency, and responsiveness of site-level administrative functions.
Qualifications
- Minimum of five years of progressively responsible experience in accounting, bookkeeping, office administration, or business operations
- Prior experience supervising or leading a team of employees
- Strong working knowledge of accounts receivable, accounts payable, transactional accounting, and administrative processes
- High attention to detail with sound judgment and discretion
- Excellent organizational skills and ability to manage multiple priorities and deadlines
- Proficiency in Microsoft 365 applications, especially Excel, Outlook, and SharePoint, along with familiarity with accounting or ERP systems
- Ability to maintain confidentiality and exercise sound judgment in sensitive matters
Preferred Qualifications
- Associate or bachelor's degree in Accounting, Business Administration, or related field
- Experience in agriculture, logistics, transportation, or a commodity-based business
- Experience with inventory management, contract administration, payroll, and site administration
- ERP system experience
Responsibilities
- Oversee customer billing and invoicing processes, ensuring accuracy in contracts, pricing, quantities, and freight terms
- Monitor accounts receivable aging and coordinate collection efforts with Sales and Operations teams
- Supervise vendor invoice processing, approvals, payment workflows, documentation, and purchasing compliance
- Support inventory tracking, physical counts, and reconciliation of discrepancies with Operations
- Maintain organized records of customer and vendor contracts and resolve billing disputes efficiently
- Collaborate with the Corporate Controller to ensure site accounting transactions, reconciliations, and internal controls are accurate and compliant
- Prepare schedules, accruals, and supporting documentation for month-end close, audits, and internal reporting
- Partner with site leadership to identify administrative needs, establish workflows, and resolve operational issues
- Develop, implement, and maintain site administrative procedures aligned with corporate policies
- Manage general office operations, including supplies, mail, records, payroll, and routine administrative tasks
- Serve as a resource for site supervisors, employees, customers, and vendors regarding administrative matters
- Provide onsite support for HR, Safety, and risk management activities, including new hire paperwork, incident reporting, and recordkeeping
- Refer complex or sensitive issues to appropriate managers or corporate resources
- Perform additional duties and special projects as assigned
