Accounting & Administrative Assistant

About the role
This role is an important part of the support structure behind our work. The Accounting & Administrative Assistant works closely with Accounting, Estimating, and Operations to help keep invoices, approvals, vendor records, bid support, documentation, and office operations moving accurately and efficiently.
Responsibilities
- Processing vendor invoices, employee reimbursements, and accounts payable transactions
- Managing invoice approval workflows and communicating with project managers and department leaders
- Preparing check runs, ACH payments, and vendor payments
- Reconciling vendor statements and researching discrepancies
- Maintaining vendor records, including W-9s, credit applications, and 1099 information
- Assisting with corporate credit card administration, expense reporting, and account reconciliations
- Supporting subcontract, work order, and purchase contract invoice processing
- Assisting Estimating with bid packages, bid submissions, bid bond requests, and required documentation
- Maintaining project records, bid history, and reference materials
- Providing backup reception coverage and general office support
- Assisting with special projects and administrative support across departments

Skills
Experience in construction is a big plus. Bonus points for experience in accounting software, ERP systems, or construction management software.
