About the role

As an Account Specialist, you will play a key role in supporting contingent workers and clients throughout the onboarding and assignment lifecycle. Working closely with Account Managers, clients and workers, you will ensure onboarding, compliance and assignment administration processes are completed accurately, efficiently and in line with company and client requirements. You will act as a trusted point of contact for contingent workers, providing guidance, resolving queries and delivering an exceptional service experience. The role requires strong attention to detail, a proactive approach and a commitment to maintaining accurate data and compliance standards while supporting operational excellence across the business.

What You'll Be Doing

  • Supporting contingent workers through the onboarding process, ensuring all required documentation is completed accurately and on time.
  • Initiating onboarding activities promptly following client requisition approvals and maintaining momentum throughout the process.
  • Conducting welcome calls and communications with new contingent workers to provide guidance and support.
  • Managing background screening, drug testing and employment eligibility verification processes in line with client requirements and regulatory standards.
  • Ensuring compliance documentation is gathered, reviewed and recorded before assignments commence.
  • Acting as a primary point of contact for contingent workers and client hiring managers throughout the assignment lifecycle.
  • Providing ongoing onboarding and compliance updates to Account Managers and clients.
  • Supporting workers and hiring managers with access to timekeeping systems and providing guidance on time entry and approval processes.
  • Maintaining accurate assignment records and completing data entry across multiple systems to support payroll and invoicing activities.
  • Auditing assignment data and resolving discrepancies to ensure accuracy and compliance.
  • Responding to worker and client enquiries in a professional and timely manner.
  • Escalating sensitive or complex matters to Account Managers where appropriate.
  • Maintaining knowledge of onboarding, payroll, timekeeping, compliance and employment-related processes.
  • Building strong working relationships with internal teams, contingent workers and clients to deliver a positive service experience.
  • Identifying opportunities to improve processes, enhance efficiency and support continuous improvement initiatives.

Requirements

  • Has experience working in HR, payroll, workforce management, onboarding, compliance, customer service or a similar administrative environment.
  • Enjoys supporting people and providing an outstanding customer experience.
  • Has a strong understanding of compliance-focused processes and the importance of accuracy and attention to detail.
  • Is highly organised and able to manage multiple priorities while meeting tight deadlines.
  • Takes ownership of their work and demonstrates a strong sense of urgency and accountability.
  • Is confident communicating with a wide range of stakeholders, including workers, hiring managers and clients.
  • Has excellent problem-solving skills and can handle enquiries and issues professionally and efficiently.
  • Is comfortable working with data, auditing information and maintaining accurate records across multiple systems.
  • Is confident using Microsoft Office applications, particularly Excel, and can quickly learn new systems and technologies.
  • Values process consistency, standardisation and delivering high-quality outcomes.
  • Has experience working with employment, onboarding, payroll or compliance-related processes (desirable).
  • Has experience mentoring, training or supporting colleagues (desirable).
  • Holds a Bachelor's degree or equivalent experience.
