Responsibilities

  • Serve as a clerical assistant to a higher-level accounting position, handling day-to-day accounting system operations.
  • Perform complex bookkeeping and financial-clerical tasks, including sorting, coding, verifying, and filing financial documents to registers and subsidiary ledgers.
  • Maintain records for a small general accounting system or specialized systems such as accounts receivable, accounts payable, or trust accounting.
  • Distribute direct and indirect costs to established job or hospital cost accounting systems.
  • Assist in balancing accounts with the Auditor's abstract.
  • Compile prescribed financial-statistical data and prepare standardized reports (e.g., sales tax, mileage, collection reports, or current account balances).
  • Reconcile bank accounts for a large group of funds or revenue accounts involving numerous transactions.
  • Supervise and perform inventory control work, maintaining large-scale stock and equipment accounts.
  • Investigate and explain discrepancies between book value and physical inventories of supplies and equipment.
  • Compute inventory adjustments due to price changes, depreciation, and accrued expenses and revenues.
  • Prepare complex claims for reimbursement.
  • Operate desk calculators, bookkeeping machines, adding machines, and typewriters as needed.

Requirements

  • One year of accounting clerical experience at the level of Account Clerk I or equivalent.

Experience at the Account Clerk I level is defined as performing accounting clerical work in maintaining accounting records within a comprehensive, established framework of procedures, under general supervision. If your job title differs but your experience aligns with these responsibilities, skills, and organizational structure, you may still qualify.

If your work involved additional responsibilities beyond the standard class specification, provide official documentation (e.g., bonus verification, reclassification study) within seven calendar days from the last filing date.

No withholds will be allowed; required experience must be fully met by the last day of filing and clearly indicated on the application.

Physical Class II – Light: This role involves light physical effort, including occasional lifting up to 10 pounds and some bending, stooping, or squatting. Considerable ambulation may be required.

Assessment Process

The examination consists of two parts, each weighted 50%:

  • Part I: Multiple-choice and/or simulation assessments evaluating:
    • Data Entry Skills
    • Conscientiousness
    • Service Professionalism
    • Quantitative Ability
    • Drive for Success
    • Numerical Calculation
  • Part II: Multiple-choice and/or simulation assessments evaluating:
    • Accounts Payable (Purchase Orders, Invoices, Claims, Expense Vouchers)
    • Accounts Receivable (Invoice Processing, Check/Cash Receipts, Aging Reports, Vendor Registrations)
    • Microsoft Excel 365 (Basic Formatting, Functions/Formulas, Printing, Passwords/Encryption, Conditional Formatting, Charts/Data Tables)

Applicants must achieve a passing score of 70% or higher in both parts to be placed on the eligible list. Some exam components are not reviewable by candidates.

If you are concurrently applying for the Account Clerk I exam, identical test responses may be transferred to avoid retaking assessments.
