Responsibilities

  • Provide clerical and bookkeeping support to accounting staff for daily departmental accounting systems
  • Maintain records in general accounting, accounts receivable, accounts payable, or trust accounting systems following established policies
  • Perform bookkeeping duties including sorting, coding, verifying, posting, and filing financial transactions; maintain subsidiary ledgers and reconcile account balances
  • Assist with account reconciliations involving Auditor records, property listings, bank statements, revenue accounts, and fund balances
  • Prepare standardized financial reports including sales tax, mileage, collections, and account balance reports
  • Provide lead direction to bookkeeping machine operators and support staff as assigned
  • Verify inventory, stock, and equipment records by reconciling receipts, issues, invoices, and physical inventory reports
  • Compile discrepancy reports, inventory analyses, and statistical summaries related to inventory operations
  • Conduct routine office and field reviews to verify clerical accuracy of accounting documents including petty cash reports, cash register receipts, and collection records
  • Ensure compliance with accounting procedures and maintain accurate financial records for departmental operations

Requirements

Applicants must meet one of the following options by the filing deadline:

  • Option I: One year of clerical experience in bookkeeping, assisting with double-entry accounting systems including coding transactions and posting/balancing ledgers, journals, and registers
  • Option II: One year of clerical experience maintaining financial or statistical records involving coding, recording, checking tabulations, and data computation, plus completion of a high school or higher-level course in bookkeeping or elementary accounting

For Option II, applicants must submit official documentation (transcript) showing course title, units (if applicable), and completion. International coursework requires US equivalency evaluation. Documents must be in English or include certified translation and be submitted within seven days of application.

    • Accounts Payable: Purchase Orders, Invoices, Claims, and Expense Vouchers
    • Accounts Receivable: Invoice Processing, Check/Cash Receipts, Aging Reports, and Vendor Registrations
    • Microsoft Excel 365: Basic Formatting, Functions/Formulas, Printing, Password Protection, Conditional Formatting, Charts, and Data Tables

Applicants must achieve a minimum 70% score on each part to be placed on the eligible list. Some exam components may be transferred from concurrent applications for Account Clerk II.
