Grand Valley State University’s Department of Biomedical Sciences is seeking an Academic Department Coordinator to join our collegial staff and contribute to a positive office environment and departmental mission. About the Department

The Department of Biomedical Sciences is part of the College of Liberal Arts and Sciences (CLAS), the largest college at Grand Valley, offering over 50 bachelor degrees and a growing number of advanced degrees in the natural and mathematical sciences, fine arts and humanities, and social sciences. CLAS is a student-centered and diverse learning community engaged in critical inquiry, extending knowledge to enrich and enliven individual and public life. Responsibilities

  • Compile and logically format statistical data, spreadsheets, and reports to facilitate department decision-making related to budget and scheduling.
  • Monitor department budgets and provide timely reports to the unit head.
  • Prioritize tasks to manage and coordinate a large and varied workload, including supervision of student workers.
  • Disseminate information requiring explanation and interpretation of university and departmental policies, directing individuals to additional resources as needed.
  • Provide support to faculty, including office space, keys, name plates, and computer access.
  • Assist with bulk mailings, phone answering, filing, and recordkeeping systems.
  • Serve as student employee supervisor and may act as lead worker for other Professional Support Staff (PSS).
  • Coordinate with the unit head and assistant unit head to develop the academic schedule.
  • Manage scheduling tasks and support services for major meetings, events, conferences, exhibits, travel, and other related duties for internal and external contacts.
  • Provide administrative support for personnel processes.
  • Coordinate and monitor grade processing.
  • Maintain syllabi records for the department.
  • Maintain and order department supplies.
  • Act as a liaison between the unit head, Dean’s Office, faculty, staff, students, and outside organizations.
  • Collaborate across and provide backup support to other CLAS units as needed.
  • Perform other related duties or special projects as assigned.

Non-Essential Functions

  • Process textbook orders for faculty.
  • Handle major declarations and assign faculty advisors.
  • Coordinate completion of course override requests.
  • Maintain department social media accounts.
  • Perform routine website maintenance.

Requirements

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience operating office equipment.
  • Data entry experience.
  • Typing and spelling competency with strong grammar and proofreading skills.
  • Strong verbal and written communication skills.
  • Demonstrated experience providing quality customer service.
  • Demonstrated ability to work independently, organize own work, and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated ability to maintain satisfactory work performance and attendance records.
  • Ability to maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Some college coursework.
  • Supervisory experience.
  • Accounting or budget experience.
  • Experience in an academic environment.
