Academic Advisor
About the role
The School Counselor/Academic Advisor supports scholar success by providing academic, career, and social-emotional guidance. This role works closely with scholars to ensure they meet graduation requirements, maintain engagement, and are prepared for post-secondary opportunities.
Responsibilities
Academic Advising:
- Conduct credit audits and maintain up-to-date graduation planners
- Maintain regular advising check-ins and document interactions
- Submit, verify, and communicate weekly credit submissions from teaching staff
- Collaborate with teachers to support classroom success
- Participate in academic schedule updates in ProgressBook
- Track re-engagement of scholars and support reenrollment where appropriate
College & Career Readiness:
- Guide scholars through post-secondary planning and FAFSA completion
- Aid with college applications, job training programs, and transcript requests
- Promote awareness of career pathways and CTE program alignment
- Career pathway coordination for 10th graders entering Work Academy
- Enter community service hours into EMIS as logs are submitted
Social-Emotional Support:
- Submit scholar referrals to mental health partners as needed
- Collaborate with partners (e.g., APDS) for in-school support
- Support overall scholar well-being through proactive outreach and case management
Testing Support & Compliance:
- Prepare rosters and assist with administration for EOC, ACT, and STAR testing
- Implement testing prep strategies and monitor scholar readiness
- Incentivize participation and address testing barriers
- Complete weekly data verification and support accountability checks
Enrollment Support & Attendance Coordinator:
- Enrollment File Management:
- Review student enrollment files to ensure all required documents have been received and properly uploaded
- Monitor enrollment files for missing or incomplete documentation and follow up with families to obtain required items
- Absorb families with completing enrollment paperwork and navigating enrollment requirements
- Maintain accurate and organized student records in the student information system and other enrollment databases
- Track enrollment progress and provide regular updates to the Enrollment Coordinator regarding outstanding file requirements
- Ensure student records comply with school, district, and state enrollment regulations
- Absorb families with enrollment events, registration sessions, orientations, and recruitment activities
- Communicate professionally with parents, guardians, and community partners regarding enrollment requirements and deadlines
Attendance Tracking & Monitoring:
- Monitor daily attendance reports and identify students with attendance concerns
- Contact parents and guardians regarding student absences, tardiness, and attendance-related issues
- Document all attendance interventions, communications, and follow-up actions in the appropriate systems
- Maintain accurate attendance records and assist with attendance audits when required
- Generate attendance reports for school administration and support staff
- Work collaboratively with school counselors, administrators, and academic staff to address attendance concerns and improve student engagement
- Absorb in attendance improvement strategies and family outreach efforts
Administrative Support:
- Maintain confidentiality of student and family information in accordance with FERPA and school policies
- Provide excellent customer service to students, families, staff, and community members
- Absorb data entry, filing, scanning, and record management
- Participate in department meetings, professional development, and training sessions
- Support the overall goals and initiatives of the Enrollment Department
Requirements
Valid Ohio School Counseling License (preferred but not required)
Bachelor’s degree (preferred but not required)
Experience in academic advising, youth development, or education-based support
Familiarity with Progress Book/EMIS, and QuickBase systems preferred; on-the-job training will be provided
Strong interpersonal, organizational, and communication skills
Demonstrated ability to work with diverse populations and foster equitable outcomes
Demonstrated ability to manage multiple deadlines and maintain accurate records
