About the Role
The Service Coordinator assists the shop with office duties related to customers and shop employees, ensuring smooth operations and efficient workflow.
Responsibilities
- Opens work orders and checks for customer credit.
- Processes outside job purchases to the proper work order segment and applies the correct mark-up.
- Processes all work order corrections as instructed by the Shop Manager or Field Service Dispatcher.
- Maintains a work log and provides work in process report.
- Closes work orders and processes invoice adjustments and corrections.
- Processes Instant Invoices for COD and invoices to CAT Commercial Account as instructed.
- Coordinates shop purchases according to department needs, maintains a Purchase Order log, and tracks outside invoice status.
- Reconciles invoices for payment and processes them to the accounting department.
- Gathers and confirms required warranty information (e.g., delivery date, SIMS, hours, service stories) for claim submission.
- Ensures all warranty documents are present and coordinates delivery of claim files to the Warranty Writer.
- Receives incoming customer calls, answers inquiries, and directs customers to appropriate service personnel.
- Coordinates technician training expense needs, such as hotel and meal funds.
- Maintains fuel, Freon, and oil logs and processes sales to work orders.
- Initiates inspection logs for Rent, Demo, or Used Equipment on the CAT Used website and uploads completed inspection data.
- Maintains PDA hardware to support inspection efforts.
- Performs other miscellaneous duties as directed by the Product Support Manager, including running SIMS machine reports, processing simple parts orders, and answering incoming branch phone calls as a backup to the Receptionist.
Requirements
- High School Diploma or Equivalent (Associate's Degree preferred).
- 3-5 years of heavy equipment experience.
- Knowledge of Microsoft applications.
- Basic math skills and professional phone/personal communication.
- Data entry experience.
Physical Requirements
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently sits for long periods and may stand, walk, bend, and stoop. Occasionally lifts and/or moves up to 20 pounds.
