About the role
The Payroll Administrator – Senior supports accurate and compliant payroll operations by managing multi-entity payroll processing, maintaining payroll data integrity, completing with tax and reporting requirements, and resolving payroll and timekeeping issues while contributing to process improvements and cross-department collaboration.
Responsibilities
- Manages payroll data and supports accurate weekly, bi-weekly, and off-cycle payroll processing across multiple entities, ensuring proper timesheets and wage calculations.
- Maintains and updates payroll system records for hires, rehires, terminations, job changes, compensation adjustments, and retroactive entries with increasing independence.
- Reviews Time & Absence, Earnings, and Payroll Worker Data reports to validate hours and salary accuracy before payroll submission.
- Prepares and distributes payroll registers and cycle documentation, ensuring completeness and accuracy.
- Processes voluntary and involuntary deductions—including garnishments, child support, and tax levies—while ensuring compliance with federal and state requirements.
- Initiates and reconciles payroll-related wires for wages, taxes, garnishments, 401(k), HSA, and reimbursements; verifies contribution accuracy prior to vendor submission.
- Serves as a resource for employees and supervisors, resolving payroll and timekeeping issues and escalating complex matters as needed.
- Develops and delivers payroll training materials to employees and managers, supporting knowledge transfer and consistency.
Requirements
- Five (5) years of payroll processing experience; oil and gas and Workday experience preferred.
- Skilled in multi-entity payroll, alternative schedules, incentive pay, and payroll tax and garnishment processing.
- Proficient with 401(k)/HSA contributions, wire transfers, journal entries, and reconciliations.
- Strong knowledge of payroll practices and federal/state labor and tax regulations.
- Detail-oriented, analytical, and able to manage multiple priorities and deadlines in a fast-paced environment.
- Demonstrated ability to maintain confidentiality and build effective working relationships at all levels.
- Excellent communication, organization, and planning skills.
- Proficient in Microsoft Excel, Word, and PowerPoint; strong customer-service mindset.
Qualifications
- Required: High School Diploma or GED equivalent.
- PREFERRED: Bachelor’s degree in human resources, business administration, accounting, or a related field from an accredited four-year institution.
Skills
- FPC Certification required.
- CPP Certification preferred.
